Statement of Purpose The Assistant Controller - E-commerce oversees all accounting activities for the AbilityOne E-commerce (AbilityOne) and New York State Preferred Source (NYSPSP) E-commerce programs, including accounts receivable and cash receipts, collections, accounts payable and cash disbursements, and the month-end accounting close. Incumbent maintains the general ledger, prepares for the year-end audit, and prepares timely and accurate financial reports. Incumbent works closely with customers from operating departments and assists the Controller with special projects. Qualifications Education BachelorA cents € (TM) s Degree in Accounting from an accredited university or college preferred; CPA required. A combination of experience and education may also be acceptable. Training and Specialized Knowledge Excellent supervisory and training skills Excellent organizational & interpersonal skills Ability to work as an effective member of a team Excellent verbal and written communication skills Demonstrated problem-solving and analytical skills, and ability to multi-task effectively Ability to maintain effectiveness in various environments, with various tasks, responsibilities, and people Strong understanding of complex ERP systems, preferably Oracle EBS Proficient with Microsoft Office products, including intermediate to advanced Excel skills Core Competencies Accountability Communication Skills Ethics/Integrity Customer Care Job Knowledge/Technical Skills Decision Making Judgment and Problem Solving People Management Experience 5 years public, private, or non-profit accounting experience in a general ledger environment 3 years supervisory experience with 4 or more direct reports in an accounting environment 2 years financial statement preparation and reporting responsibility Supervisory Responsibilities Five direct reports, including two Accounting Specialists, an A/R Specialist, an A/P Specialist, and a Data Analyst; provides A cents € oedotted lineA cents € oversight of and technical accounting guidance to two Accounting Specialists working for NYSPSP. Travel Less than 5% Specific Duties and Responsibilities Supervision and Training Supervise AbilityOne and NYSPSP A/P and A/R functions Supervise general ledger maintenance and reconciliation Prepare and review monthly schedules and journal entries Prepare and review bank reconciliations Prepare and review audit schedules Accounting Processing Monitor AbilityOne and NYSPSP automated shipping notifications (856A cents € (TM) s) Review and reconcile AbilityOne and NYSPSP A/R and A/P invoicing (810A cents € (TM) s) Review and reconcile AbilityOne and NYSPSP payments processing and application Manage the resolution of Shipping, A/R, A/P, and Payment exceptions in a timely manner Supervise billings to and payments from GSA Monitor and reconcile credit card payments and general ledger accounts Review disbursement checks and ACH transactions Prepare and review AbilityOne and NYSPSP account reconciliations Manage unusual/exception transactions for both programs Month-End Close Prepare and review AbilityOne and NYSPSP account reconciliations Work in coordination with the Senior Controller to meet month-end close deadlines Reporting Prepare/review ad hoc reports related to AbilityOne and NYSPSP Design, develop, and validate Oracle Business Intelligence (BI) reports as needed Prepare monthly and quarterly financial statements and supporting schedules Respond to ad hoc reporting requests as needed Issues Resolution Answer escalated internal NIB requests Resolve escalated A/P and A/R issues in AbilityOne and NYSPSP This job description does not imply that these are the only duties to be performed.
