Office Assistant - Department of Government

The Department of Government is an open, dynamic, and publicly engaged community of scholars, students, and professional staff. We believe in the ideal of scholarship for its own sake but are also deeply committed to the role of cutting-edge research in informing politics and public life.

The Office Assistant provides front-desk and general administrative support to faculty, staff, students, and visitors to the Department of Government central and satellite offices.  S/he assists with the management and maintenance of the department's office spaces and keeps office equipment in working order. Reporting to the Chair and Administrative Officer, the Office Assistant has duties that include but are not limited to:

Office Management

  • Acts as the first point of contact, ensuring that all calls and visitors to the Department are properly routed and guided.
  • Assists with the management and maintenance of the department's office spaces, ensuring work areas are presentable and professional.
  • Purchases the department's office supplies, keeping inventory of supplies and office services.
  • Copies, delivers, organizes, and picks-up all department outgoing and incoming mail.
  • Serves as Department Technology Representative to address IT needs with UIS for faculty and students.

Events, Meeting, & Administrative Support

  • Reserves rooms and spaces on campus for department meetings and small events.
  • Assists with the set-up and clean-up for department meetings and events.
  • Maintains departmental office space calendars.
  • Assists with the processing of department financial payments and reconciliation.

Academic & Faculty Support

  • Acts as the liaison for Distinguished Visiting Professors for course preparation and academic matters.
  • Ensures secure delivery of academic paperwork to the appropriate office.
  • Provides support for academic student award competitions, graduate student admissions, and special academic programs.


  • High School Diploma or equivalent; Bachelor's degree preferred
  • 2 years of experience in a fast-paced office
  • Proficiency in MS Suite applications and Google docs
  • Excellent verbal and written communication skills with the ability to work independently and within a team
  • Superior multi-tasking and time management skills
  • Ability to navigate sensitive matters with utmost confidentiality, good judgement and poise
