Special Assistant to the Senior Vice President and Chief Operating Officer

The Special Assistant to the Senior Vice President and Chief Operating Officer provides all needed administrative support to the COO, and supports communication from the Dean to university colleagues and external partners.  Reporting to the Associate Vice President (AVP) for Operations, the Specialist Assistant has duties that include but are not limited to:

  • With input from the COO and the AVP, makes decisions and plans the schedule of the COO so that his time is spent as appropriately and efficiently as possible.
  • Provides the COO with the logistics of the schedule and any appropriate briefings.
  • Schedules meetings for all initiatives of the COO's office, ensuring that all materials for meetings are distributed to participants in a timely manner, confirms all meetings, and sends reminders to participants ahead of time.
  • Manages the COO's document preparation for Georgetown University Board meetings.
  • Drafts correspondence and prepares documents as required for the COO and other reporting staff. 
  • Monitors the budget of the SVP/COO Office.
  • Acts as the COO office liaison the Business Service Center on all business transaction matters, such as to ProCard reconciliation, requisitions, purchase orders, invoices, contracts, reimbursements, purchase orders, ensuring that all documents are processed in a timely manner.
  • Arranges all logistical details for the COO's hosted events, such as Hoya Roundtables and Staff/AAP Community Forums.
  • Makes all advance planning arrangements for the COO's travel, such as air and ground travel, passport, and hotel accommodations, and settles the COO's work expenses.
  • Interfaces with senior leaders from throughout the University and assists in coordinating and managing these relationships with the COO.


  • Bachelor's degree
  • 3 years relevant work experience required - preference for 5 years relevant work experience
  • Strong organizational and office computer skills
