Assistant Operations Manager
Job DescriptionOVERVIEW:As our Operations Manager, you OWN the administrative side of the business. A residential real estate business has two sides to it. Front stage (sales) and backstage (operations). You are the quarterback of operations, meaning you know the inside and outs of every listing and transaction in our business. You are completely comfortable with taking full responsibility for the success or failure of our operational systems.Provide high quality service to all customers, employees and agents. Create, maintain, optimize, improve, inspect, and organize strategies, policies and practices surrounding your areas of responsibilities. You will report directly to the team leader and owner.RESPONSIBILITIES:A cents - Improve the operational systems, processes and policies in support of the organization's mission. Specifically, you will support better management reporting, information flow and management of our business pipeline..A cents - Play a significant role in long-term planning, including an initiative geared toward operationalexcellence and EXTREME customer service. You are obsessed with creating a world class customer experience.A cents - Supervise and coach each administrative team member on a weekly basis to make sure they are operating at an optimal level and always improving.A cents - Determine HR needs and recruit, train, lead, motivate support staff including future Listing & Transaction Managers, Virtual Assistants, and third party vendors.A cents - Coordinate and oversee the completion of special projects as needed.A cents - Prepare weekly team meeting agenda and materials.A cents - Plan goals and objectives for office operations and identify the resources such as staff, equipment and funds required to attain the end results.A cents - Management of overall business budget in coordination with the Team Leader.A cents - Identify repeat issues, processes, and tasks and then build systems around them.A cents - Responsible for operational fluidity between our operations team and our sales team as related to administrative needs around listings and transactions to ensure clear process and communication between departments.A cents - Responsible for database informational integrity and accuracy.QUALIFICATIONS:A cents - Bachelor's Degree or higher.A cents - Proven track record in operational work.A cents - Truly comfortable in a super high pace environment with high expectations of success and accuracy.A cents - Master at prioritizing work, tasks, projects, and relationships.A cents - Excellent computer skills and proficient in excel and word.A cents - Demonstrated leadership and vision in managing staff groups and major projects or initiatives.A cents - Budget development and oversight experience.A cents - Excels at operating in an fast pace, community environment.
