Executive Office Coordinator, Office of the Dean - Georgetown University Law Center

The Executive Office Coordinator provides significant support to the Dean, Executive Vice President, Vice Dean, and to the Dean's Office administration.  A key member of the Dean's Office, s/he serves as the first point of contact for the Dean's Office and fosters an overall positive impression of the Dean's Office.  The Executive Office Coordinator works closely with all members of the Dean's Office to identify and ensure the constantly evolving needs of both Law Center leadership and the community are being recognized and met in an efficient manner. Reporting to the Director of Strategic Planning, the Executive Office Coordinator has duties that include but are not limited to:

Front Desk Support

  •  Serves as the first point of contact for the Dean's Office.
  • Greets all visitors and answers general questions, directing inquiries to the appropriate person or office.
  • Manages voicemail and the broadcast account.
  • Maintains and stocks executive offices and the reception area.

 Support 

  • Assists with travel arrangements for the Dean and Vice Dean.
  • Processes all requests, including documents for signature and autopen.
  • Maintains an active log of outstanding issues, tasks, and upcoming deadlines.
  • Works with the Executive Scheduler and Director of Strategic Planning to support the Dean and Vice Dean, including editing and distributing materials, reserving space, making travel and meal reservations, and setting up conference calls.
  • Processes all incoming mail and outgoing mail and supports data entry and record keeping projects.
  • Maintains the Dean and Vice Dean's call and meeting request log.
  • Tracks vacation schedules for all Dean's Office members and works with the Director of Strategic Planning to ensure adequate support for the office at all times.

Financial Affairs

  • Supports the Dean, Vice Dean, and Director of Strategic Planning with expenses, including ProCard paperwork and expense tracking.
  • Completes supply requisitions according to University policy and procedure as needed.
  • Attends training sessions when necessary and reports any relevant updates to the Dean's office

Dean's Office Assistance

  • Manages the catering and set ups for relevant meetings.
  • Provides directions for all visitors and arranges for parking and visitor passes when applicable
  • Ensures the office environment is adequately prepared for all guests.
  • Enhances the Dean's Office environment and communication.
  • Maintains regular communication with Dean's Office and other departments to ensure policies and procedures are current and that deadlines are met.
  • Provides supervisor with issues that may need further clarification or communication from the Dean.
  • Working as a team player, gains cooperation of others.
  • Provides an inclusive, positive, encouraging atmosphere for all guests, faculty, students, and staff.
  • Professionally represents the Dean's Office at all times.

Requirements

  • Bachelor's degree
  • 3 to 5 years of relevant administrative and customer service experience
  • Familiarity with Microsoft Office, in particular Word, Excel, and PowerPoint
  • Excellent verbal and written communication skills
  • Ability to quickly adapt to and implement administrative processes
  • Ability to respond professionally in all matter and to exercise sound judgment with diplomacy and confidentiality while working in a high profile environment
  • Ability to manage multiple demands and priorities
  • Preference for experience with Google Suite
  • Preference for  experience managing expenses and/or budgets
  • Preference for demonstrated experience managing expenses and/or budgets
