GGENERAL SUMMARY: (Scope, Summary and Impact of Job)

The Process Improvement Administrator will be responsible for providing administrative support services for the CSI team and will be a key member of the Continual Service Improvement team. They are expected to assist in all aspects of the CSI organization as needed and as time permits, attend QA and CSR training classes via Adobe Connect.


  • Manage the CSI mailbox (primarily used for SOP communications) providing prompt responses; also ensures other emails are appropriately routed to targeted CSI team members
  • Manage WebEx for CSI team; set up, start and run meetings; support CSI team with technical challenges Act as central coordinator for all CSI team help desk tickets, follow up on pending requests and report out on progress
  • Attend weekly CSI IPT meeting; conference room, webex and laptop set up; take meeting minutes and capture action items
  • Capture all CSI team action items (AI) in the CSI Task List, follow up on progress and report out at CSI team meetings
  • Assist with maintaining the team roster and other informational documents
  • Conduct quality reviews for non-deliverable documents, when requested
  • Assist with team projects, as time allows or as directed
  • Provide CQA program support
    • Conduct quality assurance reviews for CQA deliverables
    • Assist the Contract Deliverables Manager when requested
  • Provide Coordination and Management of CQA Standard Operations Procedures (SOPs)
    • Manage and maintain the SOP Register; maintain accuracy of data and formulas
    • Ensure on-time delivery of all SOPs during all phases and all tranche timelines
    • Prepare and deliver the weekly SOP Register to USCB
    • Prepare and deliver SOP Updates at the CSI IPT Meetings
    • Send SOP communications or reminders to functional areas as needed
    • Conduct regularly scheduled SOP audits
    • Assist functional areas in SOP development and understanding of the SOP processes
    • Create process maps for SOPs or other documents
    • Ensure that the SOPs are searchable and logically organized
    • Manage the flow of content development of SOPs
    • Review, baseline and control SOPs
    • Quality control content (formatting, grammar, terminology, spelling, etc.)
    • Partner with operations leads to discern differences in vendor and supplier operational processes

Bachelors Degree in Business Administration or a related business discipline, or the equivalent combination of education, professional training or work experience.

2-5 years of related administrative and analytical experience.
