REPORTS TO: Sr. HR Manager

HOURS: Monday – Friday, 9:00 A.M. to 5:30 P.M.

Substantive introductory role to a career in Human Resources!

D.C.-based general practice law firm seeks a bright, entry-level HR Assistant to provide administrative support to the HR Team.  This will include office projects, recruitment / employment and employee relations / benefits tasks, and the utilization of various HR systems.  The HR Assistant will also be responsible for creating and maintaining accurate employee records and will serve as the Department’s point of contact for both internal and external needs.



~Creating and maintaining the Department’s employment, benefit, event, and vendor files

~Preparing check requests for invoices and tracking HR expenses against budget

~Drafting communication material for the Department as needed

~Performing clerical functions such as copying and scanning

~Responding to requests for verification of employment

~Providing excellent customer service to internal and external customers, responding to requests in a timely and efficient manner

~Ensuring that all HR and benefit forms are up-to-date and fully stocked

~Scheduling meetings as needed

~Other administrative duties as assigned


~Maintaining job requisition book with approved current and filled positions

~Posting positions on employment website

~Maintaining recruitment database and forwarding applications to the Hiring Manager

~Communicating with candidates regarding the status of their application

~Assisting in scheduling interviews and escorting candidates to meetings

~Initiating applicant skill testing during interviews and forwarding results to the Manager

~Collecting interview evaluation forms for each candidate

~Performing reference and background checks on selected candidates

~Preparing new hire welcome packets, scheduling orientation with all administrative departments

~Sending in-take, employee transfer, and employee departure notices

~Conducting office tours for new hires

~Compiling and distributing all new hire paperwork to appropriate personnel for processing

~Processing I-9 information in E-Verify and maintaining I-9 books as required

~Requesting data watch keys


~Assisting with annual staff evaluation process, including distribution, collection, and processing utilizing viDesktop

~Maintaining SeamlessWeb, WebShare (Intranet), and ADP Portal (HRIS) for the Department, ensuring that information is timely and accurate

~Running standard reports in various HR systems


~Assisting with the coordination of staff events, including planning and execution

~Assisting with the Employee Discount Program

~Assisting with firm-wide HR programs, including Staff Appreciation Week and the Holiday Party

~Assisting the Benefits Department with conducting benefit reconciliations and Smart Trip Program administration

~Supporting the HR Department with other tasks as needed


~Bachelor’s degree in Human Resources or Business

~2-3 HR internships; 1-2 years of HR work experience strongly preferred

~Demonstrated interest in HR

~Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook

~Excellent spelling, grammar, and written communication skills

~Attention to detail; ability to multi-task and prioritize

~Ability to establish priorities and meet deadlines

~Ability to maintain confidentiality

~Customer-service oriented with a proactive, “team player” attitude
