The Systems & Data Analyst provides excellent service to Georgetown Law constituents on pre-registration, registration, reporting, system security, faculty evaluations, fee assessment, in-class computer exams, and graduation. Reporting to Senior Associate Registrar for Technology, Training, and Compliance, the Systems & Data Analyst has duties that include but are not limited to:
- Independently maintains one or more databases.
- Delivers canned reporting requests throughout the Law Center including ad hoc data analysis reports.
- Creates and produces standard and ad hoc reports from the Cognos reporting tool or the use of Banner/Ellucian standard program functions and other available reporting systems.
- Ensures that parameters and output are accurate.
- Assists with statistical reporting.
- Handles batch-transcript production.
- Disseminates materials needed to award post-commencement honors for graduating, upper class, first year, and LL.M. students.
- Assists with data transfers from other offices.
- Participates in the system testing of Banner customizations and upgrades.
- Participates in the testing of new systems and products for the Registrar's Office.
Trains Registrar staff members in the technological functions of the office and in various technological tasks related to reporting, examinations and graduation; and provides training to Law Center on the functional uses of Banner.
- Assists in the management of the processes for ensuring that registration course controls are accurately reflected in preparation of the pre-registration and registration processes, and in ensuring that pre-registration and registrations results are available online to students, faculty and administrators in a timely manner.
- Performs course registration for students enrolled in year-long courses.
- Assists in setting class years and student attributes; in the management of the waitlist lottery process; in the creation and update of the Open/Closed Course lists; in working with JD and Graduate Programs Offices to create schedule of classes for new term; in resolving schedule building anomalies; in the management of the pre-registration, add/drop/waitlist, and Last Chance Lottery processes; and in the collaborative effort with the Admissions Office to generate student credentials and facilitate student entry into MyAccess.
Implementation of Computer Examinations
- Assists supervisor and the Exam and Grades Team with administering the computerized examination process (for mid-term and final exams).
- Assists the Senior Associate Registrar in responding to inquiries by students or faculty regarding questions on the online exam system.
- Collects answer keys from faculty, scans multiple choice exam answers, and produces exam statistics for the faculty member.
- Acts as liaison with IST in the case of an irretrievable exam.
- Ensures that all exam rooms have the necessary power sources and internet connectivity.
- Serves as Registrar representative in the event of in-class exam issues at the start, during, and at the end of the exam time slots.
- Ensures that routine questions are answered accurately, immediately, courteously, and within the guidelines of privacy restrictions; and when appropriate, directs certain questions to others for resolution.
- Makes determinations as to whether students must be seen by the Registrar, Senior Associate Registrar, Associate Registrar, or Assistant Registrar, either immediately or at a scheduled appointment.
- Researches background information concerning grades, registration, graduation, addresses, and transcripts.
- Maintains regular communications with coworkers to stay current on policy or deadline adjustments.
- Serves as backup to the Manager for Technology, Training, and Compliance.
- Attends training and supports activities towards the definition and configuration of Banner modules and related software.
- Assists in orientation, registration, examination, grading, and commencement duties.
- Bachelor's degree - preferably in Computer Science
- 1 to 3 years of progressively more responsible experience in a Registrar's office or similar technology-based workplace
- Self-motivated and self-directed, with the ability able to work independently and to handle multiple tasks simultaneously
- Ability to maintain highest levels of professionalism and office decorum, while retaining the interpersonal skills necessary to successfully relate to our constituents
- Attention to detail, accuracy, accountability, excellent teamwork skills, and an ability to establish priorities, while maintaining the confidentiality of student records
- Ability to establish priorities to meet strict and often competing deadlines
- Exemplary organizational and customer service skills with the ability to work with diverse constituencies, including students, faculty, staff, alumni, and other visitors
- Commitment to highest levels of professionalism and office decorum
- Working knowledge and experienced use of Banner, Cognos, SQL, and Microsoft Office Suite, in particular Access and Excel - preference for experience with database creation and management and production of ad hoc programs
- Preference for familiarity with the Banner student information system
- Availability and willingness to work extended hours during peak periods such as orientation, registration, and exams
