Position Description: Legal Administrative Assistant
Smith Pachter McWhorter PLC is located in Vienna, Virginia (Tysons Corner) with law practices in government contracts, construction and white collar crime.
We are currently seeking an experienced legal administrative assistant. The ideal candidate will have a minimum of 3 years of legal administrative experience in a law firm, and will be able to work with a diverse group of professionals in a fast-paced environment. The position requires knowledge and understanding of law practice administrative functions.
Compose general correspondence, reports, memoranda, spreadsheets, expense reports, time entry, and complex documents that may require advanced word processing skills.
Keep files current and filing up-to-date for each client/matter or project.
Arrange travel reservations and prepare travel expense reports.
Transcribe legal documents, correspondence and reports from rough draft, dictation, or transcription.
Proofreading of documents.
Handle e-filing in state and federal courts.
Complete requests for conflict of interest checks and new matter openings.
Organize meetings for lawyers and communicate with clients and outside vendors as necessary.
Organize files for off-site storage or destruction.
Back up receptionist as needed.
All other administrative duties as assigned.
High School Diploma; Some College Preferred.
Minimum of three years legal administrative experience in a law firm.
Ability to use various software including Word, Excel, PowerPoint, Adobe, Outlook, time entry, and others as may be required to complete assignments.
Minimum typing speed of 70 wpm.
Ability to work in a team environment.
Strong verbal and written communication skills.
Strong organizational skills.
Ability to manage competing priorities and workload in order to meet deadlines; must be able to work effectively in deadline pressured situations.
Must possess a high level of professionalism and interpersonal skills so as to be able to work well with employees at all levels within the organization. Required to use tact and diplomacy when dealing with others.
Willingness to participate in ongoing training and improvement in development of work-related skills, e.g., learn new software programs.
Maintain information in strict confidence and observe confidentiality rules applicable to working in a law firm environment; respect and maintain confidentiality internally and externally; i.e., no Facebook, Twitter, or email that concerns job in any manner.
