SUMMARY: Administers all aspects of the FMLA and disability leave programs, including FMLA and ADA; communicates with Human Resources partners, managers and employees about leave availability and requirements; administers leave; coordinates leave with disability insurance and paid time off; provides back-up support to the Leave Manager on corporate cases, leave management training for new Leave Management personnel, benefit premium posting and arrears processing. ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned. 1. Administers Leave of Absence requests: a. assists employees with leave of absence requests and guides them through the process b. processes all leave of absence paperwork according to established procedures and laws c. communicates with management leave of absence situations and provides guidance within the policy and established legal guidelines d. keeps complete records of all LOA requests/ADA Accommodation requests and maintains tracking and analysis of data. 2. Administers the FMLA program: a. receives and reviews requests for FMLA leave b. answers questions from employees and managers on FMLA leave c. coordinates the return-to-work process for FMLA leaves of absence d. Maintains databases and performs other tasks to ensure the accuracy of FMLA and personal leave records and files. 3. Receives requests for other types of disability-related leave, including leave requested as a reasonable accommodation under the ADA and leave arising out of a work-related injury or illness. Ensures all applicable leave laws are considered and applied, and coordinates with paid time off and other leave and insurance programs. Communicates with employees and managers regarding leave designation and status Communicates cross functionally with all parties to achieve timely, accurate data entry for status changes in the HR/Payroll system as it relates to LOA. 4. Create monthly reports on leave trends including current leaves, returns from leaves and leave volume processed, and perform ad-hoc reporting as needed. 5. Serves as primary back-up to the Leave Manager in reference to leave requests from our Corporate and Physician groups, compliance reporting and complex case review. 6. Serves as primary trainer for new Leave Management team members. 7. Provides timely and accurate responses to associates and all levels of management concerning day-to-day issues and activities. 8. Consults/confers with community HR Contact regarding LOA requests. Consults with Legal when necessary. 9. Ensures communication is coordinated between employees and managers during the leave. 10. Enters and tracks benefit payments for employees on leave who are no longer receiving a paycheck from the company. 11. Maintains up-to-date working knowledge of relevant laws, including FMLA, ADA, workers' compensation, HIPAA, and other privacy laws. Identifies and attends professional development programs as appropriate. 12. Ensures confidentiality of employee medical and leave records. 13. Provides training to Human Resources staff on Leave Management processes, company paid leave programs and KRONOS processes.QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. * Excellent organizational and tracking skills. * Ability to manage a high-volume workload and manage priorities effectively, make independent decisions and track/follow up on action items. * Experience analyzing medical documentation. * Requires excellent customer service skills and an ability to deal with difficult and stressful situations, ability to interpret and analyze multiple facts, clear and confident communication skills and the ability to work independently. * Should have a solid understanding of FMLA/ADA and employment law. * Proficiency in Excel, Word, and HRIS system (PeopleSoft and Kronos preferred). * Experience in human resources program administration with strong demonstrated proficiency in dealing with confidential information, complex recordkeeping, file management, and counseling employees. EDUCATION and/or EXPERIENCE: * Associate's degree required * 3-5 years minimum of Leave Administration experience required. * Medical certification and /or at leave 2 years prior medical experience strongly desirable.
