Detailed Job Description: The Billing Specialist's primary tasks will be invoicing clients and collections. Billing Specialists are required to perform secondary tasks related to, but not limited to, all A/R & A/P functions. The Billing Specialist will also perform any administrative and company tasks required by the Administration Manager, Principals, Directors and/or Division Managers. Examples of types of invoicing include T&M, Progress, Fixed Fee and % Complete. Invoices include billing for labor hours, materials, subcontractors, and expenses related to Engineering, Technical Services and Construction Services projects. The invoicing process will require the Billing Specialist to assist Engineers, Project Managers and Foremen with compiling reports, analyzing data and tracking costs & budgets related to their projects. Secondary tasks may include, but are not limited to, working with expense reports, timesheets, service tickets and vendor bills. Examples include expense report processing, accounts payable, sales tax preparation, certificate & roster updates, reconciliation work, all A/R & A/P functions, etc. Requirements: 3-5 years of prior invoicing experience is required; with emphasis on T&M, Progress, Fixed Fee and % Complete invoicing. Position requires high volume invoicing (150 invoices/month, all project related). Experience working with a consulting firms, engineering firms, technical service firms, construction firm, or any other firm that requires project related invoicing. Must have at least one year of QuickBooks experience; preferably currently using QuickBooks for all functions. Current version of Quickbooks is "Enterprise Solutions 16.0". QuickBooks experience should include creating reports, not just data entry. Experience with BigTime IQ Pro time management software is a plus. Individual must be able to compile information from multiple systems to generate invoices. Individual must have advanced Excel skills and be proficient in Microsoft Office Suite programs. Excellent communication and customer relations skills are required; billing specialist will be interacting with clients on a daily/weekly basis. Exceptional attendance is a must. This position requires someone who is very numbers oriented, as manual calculations are required to track project costs and budgets. Must be able to keep project ledgers and reconcile project cost data. Have meticulous attention to detail and accuracy. Must be analytical and have the ability to understand the numbers beyond just a data entry perspective. Must have a good understanding of bookkeeping and accounting principles. Candidate needs to be a quick study, willing & able to learn new systems and follow established procedures. Must have the ability to prioritize work assignments, able to adapt quickly to new tasks and produce high quality work. Candidate should be able to multi-task, needs to be highly organized and pro-active. Needs to be a self- starter with the ability to complete recurring tasks without direct supervision.
