The Embassy of Canada in Washington D.C. is hiring a Migration Assistant to provide assistance in supporting the delivery of Immigration, Refugees and Citizenship Canada (IRCC) Programs.

Summary of duties: 

Under general supervision of the Operations Manager, the Migration Assistant supports the delivery of Immigration, Refugees and Citizenship (IRCC) programs by furthering the processing of client applications through dealing directly with the public on immigration and visa issues and by using procedural expertise and/ or assisting an Officer in reporting and liaison and program integrity. The incumbent requires a developed knowledge of established guidelines and procedures and exercises initiative in organizing work, tracking resources, and resolving difficult problems.

  • Eligibility for a Government of Canada Reliability Status which includes a criminal and credit background check; and
  • Independent work authorization in the United States and status in accordance with United States protocol directives for foreign missions.

Essential requirements:

Candidates must demonstrate clearly how they meet the Education and Experience requirements listed below:


A degree from an accredited university or college; or an acceptable combination of relevant experience, education, and training related to the duties and specific areas of competence required by the position.


  • Minimum of two (2) years of experience in office administration in a corporate or government environment;
  • Experience providing client service in person, by telephone, and by written correspondence;
  • Experience dealing with highly sensitive and confidential information; and
  • Experience using Microsoft Office Suite, e.g., Excel, Word, Outlook.

Rated requirements:

Candidates who meet the Education and Experience requirements will be assessed on the following qualifications. The assessment may be a written test, an interview, an in-basket exercise, a skills test, or any combination of these methods.


  • Knowledge of basic administrative support practices and procedures;
  • Understanding of Canadian immigration requirements;
  • Knowledge of the role of other Canadian government departments involved in the provision of immigration services; and
  • Knowledge of the management of information and records, both electronically and in hard copy.


  • Communicate effectively in English and French, both orally and in writing;
  • Provide effective client service in person, by telephone, and electronically;
  • Work with MS Office suite, e.g., Excel, Word, Outlook, as well as with on-line information management systems;
  • Work independently when required or as a team member;
  • Manage multiple competing demands, organize time, and work effectively to meet deadlines; and
  • Demonstrate attention to detail, with the ability to work well under pressure.

Desirable requirements:

  • The ability to work in Spanish would be an asset.

Hours of work:

Normal hours of work for this position are in accordance with the Terms and Conditions of Employment for Locally Engaged Staff (LES) in the United States of 37.5 hours per week.  The incumbent will be required to work overtime on an as-needed basis.
