As an Administrative Assistant (Human Resources), you will be supporting our client, one of the world's largest engineering, procurement, construction (EPC), maintenance, and project management companies. The Administrative Assistant (Human Resources) will join the project team supporting the construction of a large transit project. Job Responsibilities The Administrative Assistant (Human Resources) reports to the Human Resources (HR) Manager and will be responsible for supporting the HR Department by assisting with the coordination of recruitment efforts including creating job postings, screening candidates, and conducting reference/background checks Assisting with new hire orientation, providing information about benefits, procedures and policies. Assisting with onsite Davis Bacon interview and report findings. Assisting Job Center activities such as job-seeker registration into company career website. Assisting with performance management process. Assisting with documentation for disciplinary procedures, as well document and verify that actions are taken according to company policy. Assisting with communicating and answering basic employee and job-seeker inquiries. Assisting with organizing and scheduling meetings, activities, events and training sessions. Assisting with coordinating interviews, prepare employee separation papers, request termination/resignation checks. Processing new hires and employee set up in ADP and E-verify processing. Creating and maintaining employee and/or subcontractor records. Responsible for responding to unemployment claims. Adhering to and supporting the Project's Health, Safety & Environmental and Sustainability Policies. Maintaining Labor Law postings. Specific qualifications for the Administrative Assistant (HR) role include: High School diploma with 5 years of related experience. Knowledge of state and federal laws, codes and regulations concerning human resources administration, such as labor laws, FLSA, EEOC, ADA, Workers Comp, and FMLA. Ability to communicate in English and Spanish. Ability to read and interpret documents. Experience with MS Office Suite and software programs used for payroll and human resources (HRIS). Ability to maintain, handle and preserve sensitive and confidential information.
