Senior Executive Administrator & Board Liaison
PenFed is hiring a Senior Executive Administrator & Board Liaison in our headquarters office located in McLean, VA location. The primary purpose of this job is to lead the executive administrative staff, directly support the CEO and senior executive team as well as to serve as the administrative liaison to the Board of Directors. Reporting to the Senior Executive Vice President, the incumbent will also make meeting arrangements, prepare reports, financial data and correspondence to inside and outside groups while serving as a primary point of contact for the senior executive team.Essential Functions Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Manage comprehensive administrative support for the CEO and members of the senior executive team and supervises all executive administrative staff.
Organize work for the executive administrative staff, sets priorities and determines resource requirements.
Coordinate with other organizations/teams to accomplish goals.
Monitor progress and evaluates outcomes.
Prepare a variety of reports, presentations & other materials.
Meet and greet VIP clientele, guests, candidates and senior management acting as an "ambassador" for the senior executive team. Act as the gatekeeper for the executive team.
Coordinate meeting space, meeting preparation, managing the calendars of the senior executive team.
Coordinate and complete expense reports, manages calendars, and serves as the first point of contact for incoming calls.
Write responses to executive correspondence requests for the CEO and Chairman of the Board.
Ability to work flexible hours, including weekends and evenings as needed. Occasional travel to board meetings required.
Take minutes at PenFedHR Realty and PenFedHR Title meetings.
Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters including advance distribution of materials before board meetings.
Ensure the accurate preparation of board of directors’ meeting packages, including all appropriate documented, properly codified in board package reporting programs. Ensures access controls and proprietary data and corporate information are adhered to and protected.
Understand and appropriately applies principles, procedures, and requirements related to specialized expertise.
Take minutes at all board meetings.
Edit board notes for proper grammar, punctuation, and spelling and ensures all information is communicated in a clear and organized manner.
Oversee the travel policy and work directly with the travel agency to ensure goals are established and met.
Initiate action and exercise authority to resolve situations with the agency and make recommendations with senior leadership to resolve problems.
Bachelor’s degree required, Master’s degree preferred.
Minimum of ten (10) years’ of experience as an Executive Assistant for Senior Executives is required; experience supporting the CEO and Board of Directors preferred.
At least three (3) years of experience supervising executive administrative support teams.
Strong background in dealing with C-suite executives and Board Members.
Advanced MS Office skills, especially Outlook, Word, PowerPoint, and Excel are required.
Impeccable writing skills with the ability to proofread and edit others’ work in short time frames.
The ability to communicate respectfully and with tact.
Experience managing highly confidential information with discretion and sensitivity.
Proven experience identifying and analyzing problems with the ability to make recommendations for solving these challenges.
Experience responding to shifting demands and changing priorities in a fast-paced environment.
This position will supervise executive administrative staff.
There are no additional certifications required.
Ability to travel to various work sites and be on-call is required.
While performing the duties of this job, the employee is regularly exposed to an indoor office setting with moderate noise. The employee must have the ability to lift 25 pounds.
