The Office Coordinator performs a variety of administrative activities in support of the Law Center Human Resource and Business Operations. S/he serves as the first point of contact for the office, responding to requests from faculty, students, and staff by troubleshooting issues. Reporting to the Senior Manager for Human Resource Administration, the Office Coordinator has duties that include but are limited to:

Administrative Support & Customer Service

  • Provides the full range of professional customer service duties in a consistently and timely manner.
  • Responds to information requests and questions with the highest level of confidentiality.
  • Serves as the first point of contact in the office, greeting visitors to assess needs, and answering emails and phones for initial troubleshooting.
  • Provides scheduling and administrative assistance to office managers/
  • Gathers and organizes information for Human Resources events, meetings, and trainings; and prints and stores information in the organized filing system.
  • Maintains the master calendar and adds meeting notes and materials to upcoming events.
  • Schedules training, orders department supplies, and HR lunches; and reconciles ProCards.
  • Stocks and organizes office supplies and provides timekeeping assistance and backup.

Record Administration

  • Maintains current letter templates for all offer, transfer, termination, merit, and AAP letters, along with notices, actions, and memorandums.
  • Keeps current copies of procedure manuals, operational processes, toolkits, and standardizes communication to send to managers, employees, students, and candidates.
  • Audits existing paper files, consolidates, and uploads into GMS and secure filing system.
  • Organizes, sorts, and/or shreds duplicate documents.

Communication

  • Facilitates mass communications between the Administrative Services Team and Law Center Community.
  • Communicates timelines to employees, managers, and approvers.
  • Reaches out to managers, employees, and approvers to follow up on issues as needed.
  • Frequently updates message boards and communicates with managers, employees, and new hires.
  • Provides follow up information from regular feedback sessions.
  • Assists with the tracking of specific projects, transactions, or actions.

Requirements

  • High School diploma or certified equivalent
  • 3 years of progressively complex administrative experience
  • Demonstrated commitment to customer service and operational excellence
  • Strong organizational, verbal, and written skills
  • Ability to interact and communicate effectively with a diverse and demanding community
  • Ability to provide consistent, professional, and timely assistance
  • Preference for advanced skill set in Microsoft Office Suite
  • Preference for an understanding and experience in operations using a Human Capital Management Systems
