Operations Officer, Finance and Administration - Center for Social Justice

As a part of the nation's oldest Catholic and Jesuit university, the Center for Social Justice (CSJ) animates the University's values and mission through its work in research, teaching, and service.

The Operations Officer supervises the day-to-day business operations of the Center, assists in the financial and administrative management of the CSJ, participates in CSJ activities, including staff meetings, committees, and cross-program collaborations, working closely with all members of the CSJ team, professional staff members, student employees, and volunteers.  Reporting to the Director of Finance and Administration, the Operations Manager has duties that include but are not limited to:

Operational Management

  • Maintains operational matters - for example, facilities planning and security, all office keys, mail office supplies, copy and fax machines, office equipment checkout, petty cash, and off-site storage management.
  • Supports the Executive Director (ED), Associate Director, and Financial and Administrative Officer (FAO) in overseeing day-to-day operations.
  • Recognizes problems and impediments and reports them promptly with options for solutions to the FAO; and promotes and assists with constructive resolutions.
  • Supports the ED and FAO in determining, identifying, and developing specific plans to scale its capabilities and capacity as highly-performing, data driven organization.
  • Develops, implements, and monitors work practices, systems, and methods that are effective, efficient, and consistent with University standards, policies, and procedures.
  • Identifies and implements innovative, disciplined, and continuously improving processes and systems for the 3 signature programs, and for student organizations in collaboration with the Program Director of Student Organizations and Leadership.
  • Holds team members accountable to operating and measuring results under established processes, systems, and metrics.
  • Maintains oversight of Protection of Minors administrative process.
  • Serves as CSJ representative on the Emergency Response Team.
  • Trains and supervises all student office workers (front desk staff); and efficiently coordinates and prioritizes assignments to the front desk staff.
  • Provides support for program directors on administrative matters.
  • Establishes and maintains professional and cooperative working relationships with all stakeholders, campus colleagues (payroll, procurement, facilities, risk management), students, and vendors.
  • Processes all financial paperwork expeditiously.
  • Organizes Center process logistics - for example, student hiring, professional staff interview, farewells, open houses, and guest visits.

Student Hiring and Payroll

  • Hires all CSJ student employees in coordination with the Student Employment Office.
  • Works with payroll, human resources, and the federal work study office to get employees charged properly to the correct cost centers.
  • Tracks Federal Work Study Award (FWSA) amounts to support the monthly reconciliations of the program directors.
  • Serves as the custodian of student employment paperwork.
  • Works closely with the Payroll & Van Administrator to resolve timesheet issues.
  • Tracks professional development and training for CSJ professional staff, including new employee onboarding.
  • Onboards new staff on University/Center policies and regulations regarding operations, standard procedures, proper use of office equipment, and emergency procedures.

Student Programs and Student-Run Organizations

  • Shares responsibility with the Associate Director for overall program and student organization support - for example, administrative training, vans management, event planning and preparation, reservations process, equipment checkout, and cost center maintenance.
  • Assists in the monthly reconciliation of cost-sharing reductions (CSR) by established deadlines.
  • Processes financial forms, students' requests for financial reports, invoices, and other financial paperwork expeditiously.
  • Advises 6 to 8 student organizations.

Requirements

  • Bachelor's degree
  • 2 years of experience in administration
  • Ability to work well under pressure
  • Skilled and successful at prioritizing work and multi-tasking to meet deadlines
  • Detail orientation and strong time-management skills
  • Ability to think outside the box to solve issues creatively
  • Passenger vehicle license and clean driving record to support CSJ van operations

Preferred qualifications

  • Experience with project management, Microsoft Excel, and Georgetown Management System (GMS)
  • Experience working in higher education and familiarity with university culture
  • Strong written and oral communication skills and strong database management skills
