The George Mason University Student Centers (SC) invites applications for an Administrative Coordinator. Responsibilities: The Administrative Coordinator reports to the Associate Director of Student Center Services and Employee Development. This position supervises four to six student hourly wage Office Assistants and one Lead Student Office Assistant. Duties include:
Student Centers Hiring Coordinator (Student Wage and Part-Time): * Complete the Human Resources Liaison Certificate Program; * Coordinate the process for recruiting, selecting, and hiring of part-time and student hourly wage positions through the HireMason student employment database; * Coordinate with the International Tax Office on paperwork for new international student hires; * Keep all student files and records organized, and track student changes in status and payroll; and * Assist the Associate Director in coordinating new hire orientation and onboarding.
Central Office Administration: * Provide daily customer service support, desk coverage and staffing of the Central Office; * Schedule and coordinate agenda for the quarterly SC tenant and staff meetings; * Tracking and reporting of monthly key performance indicators for SC in collaboration with department colleagues; * Provide oversight and tracking for the Office Assistant Trello board with documenting reservations, SC policies, issues/complaints, and important information to customer service; and * Supervision and scheduling of the Office Assistants, and approval and submission of the biweekly payroll.
Fiscal Support: * Track and manage Central Office supplies and equipment (including business cards, office copy card, printer/copy paper, etc.); and * Manage the front office cash register system, and serve as the organization/fund officer on record responsible for the cash management and credit card processing.
Student Center Services: * Coordinate HireMason kiosk semester events (invitations to vendors, booking kiosks, collecting and processing payment, assessing vendor feedback, etc.); * Process reservations for kiosk, banner, easels, and locker rentals, and submit financial paperwork for payment processing to the accounting office; * Serve as liaison to Student Involvement Office regarding issues with student organizations and policy enforcement for SC; and * Serve as liaison to various SC tenants, and assist with service requests, work orders, and other FAQs.
Required Qualifications: * High school diploma or equivalent; * Experience with administrative processes and a strong customer service orientation, preferably in an academic setting; * Desire to work with students, faculty and staff from diverse backgrounds; * Internet/e-mail and database systems; * Experience maintaining an office; * Ability to organize and multitask proficiently; * Ability to work independently and make judgment decisions; * Should possess excellent writing, editing, communication, organizational and problem-solving skills; and * Must possess a positive and professional attitude.
Preferred Qualifications: * Knowledge of the Ellucian Banner system; and * A bachelorâ€™s degree related to management, accounting, purchasing or supply chain management.
The anticipated salary for this position is $35,000-$40,000 (not to exceed $40,000). Work schedule hours will be Monday through Friday, 8:30 a.m. to 5:00 p.m. (there is no flexibility with days or hours).
