Job Description

This position requires a highly organized and motivated team player to serve as a Visa/Passport specialist providing support for a range of administrative duties. The candidate should have knowledge and experience in management with the ability to interact effectively with staff at all levels of DoD and foreign governments. It is also essential that the contractor have the ability to provide administrative support for meetings, correspondence, and gathering correct information to support these tasks.


This is a NON TESA position. Candidate must be in Germany and possess current NATO SOFA status and DoD ID card


  • Performs a variety of general administrative tasks, such as preparing reports and correspondence, coordinating travel and meeting arrangements, coordinating visa and passport arrangements, answering phones, filing, including office security administration, processing visit requests for personnel and visitors, and sorting and distributing mail, in support of the day-to-day operations of an office, group or customer.
  • Compiles and analyzes various contract, program, and financial data using various database programs, and prepares monthly status reports based on the results.
  • Collects and inputs timesheet information into automated accounting system and processes labor corrections.
  • Processes purchasing requisitions, invoices for consultants and subcontractors, and travel and expense reports.
  • Serves as point of contact for the office or group on issues related to accounting, human resources, purchasing, and other departments, passport and visa services, as well as external contacts such as customers, vendors, and subcontractors.
  • Serves as the interface with the public whenever there are inquiries concerning visas and passports.
  • Provides work leadership to less experienced clerical and administrative personnel.
  • Completes travel and expense reports.
  • Coordinates and prepares Official Government Travel passport and visa requests such as completing visit requests in the Aircraft and Personnel Automated Clearance System (APACS), reviewing the DoD Foreign Clearance Guide (FCG) for other country specific entry guidance, requesting country specific visas
  • Uses and maintains administrative databases as required.
  • Participates in special projects as required.
  • Other duties as assigned in an office environment.
  • Must achieve and maintain the Technical Expert Status Accreditation (TESA) as defined in the Status of Forces Agreement (SOFA) between the United States and the Federal Republic of Germany. In order to qualify for TESA, the candidate must have one of the following: Bachelor's degree plus 3 years of specialized experience, OR; An Associate's degree plus 7 years of specialized experience, OR; A major certification plus 7 years of specialized experience, OR; 11 years of specialized experience
  • Must be capable of obtaining and maintaining a Secret Clearance.
  • Must be able to achieve Security+ CE Certification (or equivalent) within 90 days of hire for positions requiring elevated privileges and ITIL V3 Foundation within six months of hire.
  • Additional specific certifications may be required.
  • This position may be required to complete short-term deployments to austere locations worldwide
  • The work is typically performed in an office environment, which requires normal safety precautions; work may require some physical effort in the handling of light materials, boxes or equipment.

    Education


  • Associate's Degree in a related business discipline, or the equivalent combination of education, professional training, or work experience.
  • Knowledge of the Official Government Travel Regulations, highly preferred.

  • Experience using the Aircraft and Personnel Automated Clearance System (APACS), strongly desired
