The George Mason University Office of Undergraduate Education within the Office of the Provost seeks an Administrative Assistant to support the Associate Provost and Undergraduate Education team. Undergraduate Education includes the award-winning Office of Student Scholarship, Creative Activities and Research (OSCAR). The mission of Undergraduate Education is to provide all students with a quality, transformative undergraduate education that gives them the tools to be Engaged Citizens and Well-Rounded Scholars who are Prepared to Act. OSCAR offers curricular and cocurricular opportunities for undergraduate students to solve complex challenges through research and creative activities. Undergraduate Education and OSCAR support curricular redesign initiatives; handle university-wide academic actions; and manage the Undergraduate Research Scholars Program, a Work-Study Research Assistant program, an annual Celebration of Student Scholarship, and many other activities. Duties will include: * Serving as the primary point of contact for students, faculty, staff, administrators and visitors; including answering inquiries by phone, e-mail or in-person; * Managing daily, weekly and annual schedule of activities for Undergraduate Education and OSCAR; * Providing executive-level support for the Associate Provost, and scheduling individual and committee meetings for all members of the Undergraduate Education and OSCAR staff; * Performing fiscal duties for multiple initiatives, including purchasing, travel authorizations and reimbursements, food and beverage transactions and associated payment requests, signature card and copy card management, hiring, monthly budget reconciliations and tracking of fiscal transactions, and ad hoc needs associated with budget allocations and transfers; * Maintaining all paperwork and financial records associated with internal grant and scholarship programs, including federal Work-Study Research Assistantships, Undergraduate Research Scholars Program, Undergraduate Student Travel Fund, Scholarship Development Grants and Curriculum Impact Grants; * Event planning and publicity for Undergraduate Education events, including the Celebrations of Student Scholarship, Orientations, Convocation, and Admissions Open Houses; and * Additional tasks as assigned.
Required Qualifications: The office is very busy and the position requires daily interaction with faculty, staff, administration and students. The ideal candidate will have: * An undergraduate degree in any discipline, or the equivalent of education and experience; * Demonstrated professional experience focused on fiscal and administrative tasks; * Strong written, oral and interpersonal communication skills; * Excellent computer skills with working knowledge of all applications in Microsoft Office (include Exchange e-mail and calendar); * Demonstrated ability to confidentially handle sensitive student and financial information; * Demonstrated ability to take initiative in analyzing and accomplishing tasks, problem-solving, and the ability to prioritize and juggle multiple tasks; and * Demonstrated professionalism, flexibility, organization and curiosity.
Preferred Qualifications: * Working knowledge of Mason administrative and fiscal systems, including Ellucian Banner, MicroStrategy, MS Exchange, Student Success Collaborative - Campus, and 25live; * Experience working with the commonwealth of Virginiaâ€™s eVA procurement system; * Experience organizing travel and processing travel authorizations and reimbursements; and * Experience working in a higher education environment.
