The National Academy of Sciences, National Academy of Engineering, and National Academy of Medicine work together as the National Academies of Sciences, Engineering, and Medicine to provide independent, objective analysis and advice to the nation and conduct other activities to solve complex problems and inform public policy decisions. The National Academies also encourage education and research, recognize outstanding contributions to knowledge, and increase public understanding in matters of science, engineering, and medicine.
National Academy of Sciences Executive Office (NASEO) is responsible for the Academy's membership activities and meetings, its governing council, its scientific programs, the publication of the journal of original research (PNAS) and Arts in the Academy programs.
The Proceedings of the National Academy of Sciences (PNAS) is the National Academy of Science's official peer-reviewed journal of original scientific research. Since its establishment in 1914, it publishes cutting-edge research reports, commentaries, reviews, perspectives, colloquium papers, and actions of the Academy. Coverage in PNAS spans the biological, physical, and social sciences.
The Production Assistant assists in coordinating production workflow. Tracks production of publications, communicating with staff and vendors and monitoring production schedules to ensure publication deadlines are met. Checks quality of design, type, and print work. Performs data entry and generates reports from databases. Prepares estimates for publications and service work daily.
Working under general guidance and supervision, incumbent’s primary duty is performing tasks to facilitate the production of publications, including skilled administrative and clerical functions related to producing published material. Incumbent performs tasks requiring the consideration of multiple variables to determine the proper course of action within pre-determined approaches. While some tasks are complex, most decision-making can be made within pre-determined approaches. Normally works independently on mastered tasks.
ESSENTIAL JOB DUTIES:
1. In rotation with other staff, support vendor query follow-up and resolution.
2. Complete daily author license checks and follow ups.
3. Manage daily manuscript release list.
4. Process permissions issues for internal editorial teams and, as needed.
5. Support weekly image forensics tracking and article tracking.
6. Coordinate production workflows for special features
7. Support web quality control tasks.
8. Data entry and other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
Proficiency in Microsoft Office Suite (Word, Excel, Access). Ability to work productively and calmly under the pressure of tight publication deadlines and to work simultaneously on several and varied projects. Knowledge of current prepress and printing technology. Ability to prioritize work and the flexibility to change directions as the job dictates. Ability to solve problems with supervisory consultation or by following procedures. Ability to work successfully in a team environment. Ability to develop relationships with co-workers and employees in other National Academies’ departments through effective communication. Excellent communication skills with a proven ability to effectively interact with all levels of employees.
