A high performing Entry-Level Meeting Planner with at least 1-2 years of related meeting planning experience to join our Meetings Services department. The selected candidate will provide comprehensive, high-quality administrative and logistics support for the ASCO Conference Center and Meetings Department. If you are an organized, team-oriented individual who excels at planning and multi-tasking, we want to hear from you! What you will do:
  • Assist with logistical arrangements for onsite committee meetings and outside rental meetings, held in the conference center, including hotel accommodation, function sheets, catering, venue setup, and A/V needs
  • Assist with planning of special events at Annual Meeting, including processing of invitations, monitoring responses, and preparing attendee badges
  • Work with the Program Manager to develop best-practice policies and procedures for the conference center and committee meetings
  • Accurately process and track all invoices for onsite meetings
  • Provide support to the Program Manager, On Site Meetings
  • Provide housing support for all On Site Meetings and Transient Hotel Reservations
  • Assist with coordination of shipping for the Annual Meeting
  • Assist in answering general email accounts and the meetings department phone line

What you will need in order to be successful:         

  • A college degree or equivalent work experience (i.e. internships)
  • At least 1 year of meeting/event planning experience
  • Strong interest in the meetings/events industry
  • Proficiency with Microsoft Office applications
  • Excellent organizational skills with the ability to multi-task and manage own time, priorities, and resources to achieve goals
  • Superior interpersonal and communication skills; including oral, written, and listening
  • Strong attention to detail; analytical with the ability to see the big picture and exercise judgment, and focused on quality control
  • Commitment to work within a team to meet timelines and deliverables with a strong focus on customer service
  • Ability to work early mornings and some evenings
Ideal candidates will also contribute:
  • Previous experience working in an association or non-profit
