Sparks Group has an immediate opening for a NetSuite Administrator who will be responsible for the strategic direction, maintenance, reporting and training of the NetSuite platform. In this role, you will implement upgrades and administer NetSuite to serve global teams. The role will include project management and system administration of NetSuite globally. You will work with the IT team to ensure the integration of NetSuite with other systems and the addition of a Business Intelligence tool. This role will develop, improve and enhance business processes and information flow to ensure business decisions are data driven.
The Administrator will create and maintain relevant documentation. You will determine, plan and implement upgrades to provide efficient, effective, and timely service to staff. The NetSuite Administrator will carry out various tasks related to finance projects and coordinate with the Controller, CFO, IT and other team members to ensure s/he is getting the information needed to understand and focus on organizational priorities.
Principal Duties and Responsibilities/ Essential Functions:
1. NetSuite Management
Ensure effective management and utilization of NetSuite solutions. Work with internal clients to map business process, develop functional requirements, identify gaps and analyze approaches to meet requirements. Develop reporting methods, web interfaces and standards. Create and maintain data flow and entity relationship diagrams as well as field definition documentation.
2. NetSuite Integration
Identify areas for integration with other systems across the organization, provide recommendations, and lead implementation. Work with IT Systems Analyst to create connections between systems including Finance, HR, and IT.
3. NetSuite Administration
Work with the IT team to provide administration of the NetSuite Platform, including user and license management and day to day administration tasks. Validate and format data for import into NetSuite. Support database cleanup through duplicate management and general platform simplification. Identify, implement, and codify operational best practices to ensure that user requirements are met in a timely and efficient manner and that the process is highly understood and repeatable across the organization.
4. Database Reporting
Build reports and dashboards for local and international teams. Clean up data for clear and consistent reporting. Develop, recommend and report on key metrics to management.
5. Database Standards and Training, Change Management
Work with the Controller, CFO and Operations department to foster an environment of change as related to moving to the NetSuite system. Provide operational training to staff to utilize tools in most effective manner. Identify and promote new areas of use to support internal clients, particularly as related to fundraising activities. Along with the IT Systems Analyst, create and execute database standards for data entry, imports and reporting. Create clear documentation and user guides to assist in consistency and accuracy.
6. Provide Global Support Services
Support staff with enterprise-class support as related to NetSuite. Respond to support requests in a courteous, professional and efficient manner. Proactively address staff needs through individual and group training and raise the organizations ability to effectively utilize NetSuite.
7. Finance Projects
Coordinate and track vendor deliverables based on project timelines. Take ownership of new projects. Work with staff to manage finance business activities in most cost-effective manner.
Provide key Project Management on ERP/CRM/Financial system upgrades, including gathering data on potential systems and evaluating against requirements, following up with key users, tracking progress towards completion.
8. Other Responsibilities
Assist finance staff with various administrative duties including preparing reports, purchase orders, telephone inquiries and schedules. Review finance policies and procedures and ensure they are updated and accurate.
9. Other duties as assigned
- Demonstrated proficiency to write scripts and queries, use database diagramming tools and experience with workflow and process set up within a system
