Peer Review Coordinator
The Peer Review Coordinator is responsible for the effective functioning of the peer review in the Journal Back Office (JBO) through production in the Editorial Manager (EM) system for APA and EPF Editor's offices, the offices of the Associate Editors, and APA Journals Department. The incumbent manages the manuscript submission process for multiple journals, assists with the peer review process, and is called upon to communicate with editorial staff, reviewers, and authors as conditions warrant, including overseeing the transition of new Associate Editors and providing training on EM. The Journal Peer Review Coordinator processes manuscripts into production including securing all publications/permissions forms, all final manuscript and figure files, and transmitting all materials through the Editorial Manager for production.
EDUCATION AND EXPERIENCE:
- Bachelors degree in Psychology, English, or Business Administration, preferably with 1-2 years experience managing a fast-moving office environment and working with a sensitive customer base such as scholarly authors and scientific editors. Excellent interpersonal and communication skills (written and verbal) are necessary.
- OR - 3-5 years of experience with scholarly publications that includes a working knowledge of the editorial and peer review process.
- Experience with office administration in a high-profile, deadline driven environment.
COMPUTER SKILLS REQUIRED:
- Familiar with using Microsoft Office programs including Word, Excel, PowerPoint and Outlook
- Ability to view, update, and interpret material in database (Journal Back Office (JBO), and Production Back Office (PBO) with training provided.
- Familiarity with file-compression software (Winzip), file transfer protocol (FTP) processes, and graphics file formats (EPS, tiff)
- Ability to use Adobe Acrobat Reader
- Ability to use electronic tools for research (bibliographic databases, Internet search engines)
1. Work within the Editorial Manager (EM) to upload submitted manuscripts within 24 hours, keep the JBO up to date with board and ad hoc reviewers' information. Review all submitted manuscripts for author anonymity, adherence to submission requirements and compliance with APA publication policies, and communicate with authors as required.
2. Monitor daily Editor's and Associate Editor's manuscripts as they go through the review process: track when reviews are expected and when reviews are returned; remind late reviewers as needed; alert Editor and Associate Editor when all reviews are received and an action letter is needed; and confirm that the corresponding author receives the action letter.
3. Monitor schedule for manuscript due date and Table of Contents assembly date, prompting Editor to complete manuscript decisions and prepare issue lineup in advance of those due dates. Keep track of manuscript acceptances, promptly secure complete and accurate copyright transfer, secure permissions forms, complete manuscript transmittal forms, and immediately deliver to production. Post manuscript file and any available auxiliary files to EM. Coordinate all above activity with the journal's Account Manager ensuring scheduled due dates are met.
4. Work with authors to fully comply with submission policies and requirements, providing all necessary documentation and guidance regarding publication policies as well as all technical support needed to properly prepare manuscript and auxiliary files for production.
5. Summarize data for the annual report for APA regarding the Journal. Prepare the annual report in several areas, including basic statistics for the annual report (lag time, number of manuscripts submitted, number of acceptances, number of rejections, number of revisions, characteristics of board members, and so on). Prepare interim reports as requested by Publisher, APA Journals, and/or Executive Publisher.
6. Act as liaison between other APA Journal office staff and Editorial offices for policy and procedural questions. Work with Editors and Associate Editors to shape editorial office procedures.
