Assistant Director for Operations - School of Continuing Studies

The Assistant Director provides administrative and operational management for noncredit professional and executive education programs at the Center for Continuing and Professional Education (CCPE) in the School of Continuing Studies.  The Assistant Director of Operations' primary responsibility is the management of the faculty contracting workflow process, including hiring and onboarding new faculty, issuing faculty contracts and preparing monthly payroll for all faculty who teach within CCPE.  S/he manages the day-to-day operational issues, including all classroom support, course scheduling, course reminders, rosters, and classroom learning supplies. The Assistant Director also serves as the liaison with various University departments including SCS Events, SCS Operations, and the University Provost's Office- MCFO Division.

The Assistant Director of Operations is a team member, with the ability to provide assistance to prospective and registered students, and to problem solve faculty payment issues and reimbursements. Other responsibilities include event planning, cost center reconciliation, office supply procurement, and other duties as assigned.

Requirements

  • Bachelor's degree from an accredited institution
  • 5 years of experience, preferably in a university setting
  • Experience involving customer service, spreadsheet and data entry, data analysis, working on a team, prioritization of responsibilities, and experience in a changing and growing environment
  • High level of proficiency in MS Office, specifically Excel, as well as basic HTML, SQL, and Salesforce knowledge
  • An understanding of relational databases and enterprise information systems and data extraction
  • Fundamental understanding of HTML, SQL, Salesforce, and website administration
  • Exceptional organizational skills, as well as strong research, critical thinking, research and analytical, interpersonal, and written and verbal communications skills
  • Willingness to take initiative and manage the tasks at hand
  • Track record of identifying inefficiencies and quality initiatives, taking ownership of their assigned duties and tasks at hand, and completing them in a timely and efficient manner

  • Exceptional organizational skills; strong research, critical thinking and analytical skills; and a willingness to take initiative and manage the tasks at hand
  • Strong written and verbal communication skills and strong interpersonal skills.

  • Experience or demonstrated skill interpreting and responding to data requests and conducting data audits
