Position Summary: The Office Coordinator, Government Affairs position will provide strategic and operational support in the area of government affairs and outreach, including but not limited to administrative, office management, and project-based needs. In addition to administrative based work, this role will manage a combination of research-based efforts related to legislation, policies, and trends that are relevant to Horizon Pharma and the industry in which the company operates. This role will compile and communicate information to the appropriate business partners to maintain current trends and stay abreast of pertinent topics. This role is a contract-to-hire position. Responsibilities: Support the Executive Director, Federal Government Affairs and Policy and direct reports as dictated by government affairs strategy and project work Provide administrative and project management support related to office management and coordination of tasks Coordination of schedules Coordination of travel Managing executive calendars Scheduling of events and client visits Preparing documents and other materials for meetings Maintaining document filing and electronic record keeping for compliance filings Distributing communication (both internal and external) Collecting receipts and preparing expense reports for DC staff Monitoring budget expenditures and accruals and preparing necessary follow-up for Executive Director Review Assisting with contracts and invoices Managing news subscriptions Assist with the planning of and participation in federal government relations events as required Investigate legislation, policies, and government trends that correlate to Horizon Pharma's business practices and policies Maintain database of media outlets, social media channels, legislators, and partner organizations Manage divisional correspondence (electronic and paper) Track and manage various projects and produce reports on related work Answer general phone inquiries and assist with basic requests and questions Assist in managing and monitoring the department office supply budget including ordering and processing purchase orders, invoices and check requests in coordination with appropriate internal departments at Horizon Offer suggestions regarding improvements to workflow and processes Required Qualifications, Skills and Education: High School Diploma or GED required; Bachelor's degree in Business, Marketing, Public Relations, Communication, or related field preferred Minimum of 1-2 years of relevant administrative support experience Previous project management experience balancing and prioritizing multiple projects in a fast-paced environment Strong administrative skills Excellent communication Proficient in time management and organization, with a strong attention to detail Ability to prioritize and plan work activities, while using time efficiently Demonstrate a high level of initiative and discretion with the ability to work independently Maintains confidentiality of work and departmental activities Strategic communicator; emotional intelligence Advanced skills using Microsoft Excel Advanced skills using Microsoft PowerPoint Excellent written and verbal communication skills Professional, proactive demeanor Strong interpersonal skills Travel and social event planning experience preferred Essential Core Competencies: Action Oriented Problem Solving Organization Functional/Technical Skills Priority Setting Drive for Results Strategic Agility Intellectual Horsepower Dealing with Ambiguity Essential Behaviors: Integrity and Trust Composure Standing Alone Horizon Pharma plc does not discriminate on the basis of race, color, religion, gender, sexual orientation, national origin, age, disability, veteran status, or any other characteristic protected by law.
