Serves as part of the civil case status team in the Civil Division. Performs a variety of complex legal and technical processes. Analyzes and processes documents by applying legal rules and procedures. Tasks may include preparing court dockets, tracking the status of court cases, preparing orders and calculating and collecting fees. Assists in the administration of the Differentiated Case Tracking Program (DCTP). Liaises with Virginia Court of Appeals and Virginia Supreme Court. Provides exceptional customer service to the public, attorneys, judges and staff.
  • Analyzes legal documents for completeness and applies appropriate legal process according to the Code of Virginia and procedural requirements.
  • Prepares cases for appeal to the Virginia Court of Appeals and the Virginia Supreme Court.
  • Analyzes information from multiple legal documents and performs quality control to ensure compliance with the legal mandates and deadlines.
  • Prepares, coordinates and distributes various dockets to judges, law clerks and the public. Coordinates courtroom availability and advises the bailiffs, law clerks and judges of hearing location.
  • During scheduling docket conferences, serves as a clerk to a judge during court hearings. Taking notes, setting hearing dates, advising parties of legal deadlines and scheduling orders. Manages exhibits filed during trail.
  • Interprets complex rules and procedures and serves as the Circuit Court liaison to the Virginia Court of Appeals and/or the Virginia Supreme Court.
  • Assists in the administration of the case tracking system which actively monitors civil cases to ensure completion of the case within one year of filing.
  • Assists individuals with court procedures and case management in accordance with the Code of Virginia and serves as a deputy clerk to the Clerk of the Court.
  • Processes high volume of legal documents into case management system database. Compiles reports from database.
  • Assists the public, judges, law clerks and other individuals in person, via written correspondence, the court's website and over the telephone. Answer questions and researches and resolves problems relating to Circuit Court cases and hearings.
This is an entry level position and salary offer will not exceed the mid-point of the advertised salary range. Employment Standards MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:
  • Associates degree
  • Three to four years' experience performing administrative work.
  • Two to three years' experience in a court or legal environment.
  • Two to three years' providing front-line customer service.
  • Two to three years' data entry experience.
  • Must be able to work as a team.
  • Must have attention to detail.
  • Clear and concise oral and written communication skills.
  • Excellent organizational skills.
  • Ability to multi-task.
  • Experience in the use of Microsoft Office computer software, especially Word, Excel and Outlook.
PHYSICAL REQUIREMENTS:
Must be able to lift boxes, files and push a cart weighing up to 30 pounds. Ability to input and retrieve data from a computer. Must be able to type at least 30 words per minute due to heavy volume of cases. Physical requirements can be performed with or without reasonable accommodations.

SELECTION PROCEDURE:
Panel interview. As part of the interview process a short question/subject will be asked and the applicants will be required to type their responses within 30 minutes on the computer.
