Event Coordinator (Junior Level)
Job Description Novak Birch plans and delivers successful national and international event experiences for clients across diverse industries, including travel/tourism, federal government, and more. As we grow, we're hiring a team of Event Coordinators to help us plan, manage, and carry out events. Responsibilities Reporting to the Event Manager, you'll support our team in planning, managing, and executing numerous national conferences, meetings, trade shows and webinars. You'll be part of a team of Event Coordinators that handles the logistical needs for these events, including but not limited to requesting and preparing quotes, creating purchase orders, working with vendors for various services, maintaining deadlines, and attending events and providing on-site support as needed. Other responsibilities include: Assist the Event Manager in developing internal event project schedules/calendar of events and priorities, communicating them to the team, and maintaining them. Help the Event Manager maintain communication protocols and operation procedures with the events team, subcontractors, and on-site program staff. Communicating daily with external venues, vendors, and event specialists. Negotiating pricing and vendor agreements to ensure that we provide the client with the lowest cost and highest quality of service. Working within established budgets and presenting forward-thinking and cost effective approaches. Ensuring that events are executed seamlessly and according to plan. Gathering information and conducting research as needed for each event, including but not limited to: early bird deadlines as well as costs for vendor services, shipping, labor, travel, accommodations, etc. Required Qualifications One to three years of experience successfully supporting or managing events. Please provide examples in your cover letter. Excellent written and oral communication skills, with superb organizational, planning, and vendor management abilities. Exceptional project management, time management, and organization skills. You must be detail-oriented and have the ability to multi-task and prioritize when given multiple deadline-driven projects. A collaborative, proactive team player who works well with others. Proficiency in Microsoft Word, PowerPoint, and Excel, at a minimum. An excellent understanding of social media and digital marketing tools. Strong work ethic and drive—ability to go the extra mile and work a flexible schedule and/or extended hours to meet the client's goals. A flexible personality and ability to learn quickly in a fast-paced environment. Comfortable working with a variety of event specialists, including technical and venue-related vendor teams. Able to travel. Experience with or knowledge of government protocols regarding contracting, events, and travel is a plus. This is a salaried position.
