The Program Assistant provides general administrative, clerical, and logistical support for program activities across departments in Theater Education, including Kennedy Center Theater for Young Audiences (KCTYA) in-house productions, presentations, and national touring programs, and Kennedy Center American College Theater Festival (KCACTF) regional and national festivals, and summer intensives.  Support may consist of creating/formatting weekly actor payrolls for all productions and festivals, updating websites and social media, arranging accommodations and travel for artists/creative teams in D.C. and on the road, processing financial paperwork for the departments, and serving as a main contact for KCACTF regional chairs and festival participants in association with the Manager of KCACTF & Theater Education.  The position also assists with coordinating rehearsal materials, company management tasks, facilitating season auditions, and providing additional support as needed on all projects.

Duties and Responsibilities:

30%    Artist communication and support – book artist travel and accommodations for productions, presentations, festivals, conferences and tours; serve as a point of contact for KCACTF regional chairs and assist in maintenance of database entries; assist with registration of KCACTF national festival participants; draft and execute letters of intent and Actors’ Equity Association (AEA) contracts

30%    Finance – Process weekly Actors’ Equity Association payroll and benefits, expense reimbursements, production advances, advance settlements, and Citibank credit card statements

25%    Production logistics – rehearsal preparation (scripts, calendars, forms, guest artist passes); assist with company management (hospitality, houseboard, Playbill, Cuesheets) and process all company ticket requests; opening night celebration (gifts, cards, cake); catering and meeting logistics; represent KCTYA/KCACTF to school and public audiences as needed

15%    Administrative Support – coordinate daily office upkeep and manage administrative needs; provide clerical support to KCTYA and KCACTF Artistic Directors and Managers; provide additional support for in-house productions, festivals and intensives, and national tours; manage website and social media updates, including the Theater Education Submittable application pages; check general phone line messages and email accounts; assist in training of department interns; copy-edit documents; research possible future commissions, as needed      


1.         An undergraduate degree in the performing arts, arts management, or other related field, or equivalent professional experience.   Preferred: experience in theater education and/or performing arts for young audiences.

2.         Basic accounting skills, proficient writing and editing skills, strong communication skills.

Minimum Skills and/or Knowledge Required:

1.         Previous experience in general administrative work; a background in the performing arts is helpful.  Should have a general understanding of the arts administration structure in the world of professional theater and work well with deadlines.

2.         Strong customer service and interpersonal skills; excellent written communication skills.  Must be flexible and possess good organizational skills in order to help facilitate the support needed for the running of the programs.

3.         Computer literacy, including experience with Microsoft Word and Excel, as well as social media platforms such as Facebook, Twitter, and Instagram. Experience in basic graphic design a plus.
