Requirements

Administrative Coordinator - McCourt School of Public Policy

The Administrative Coordinator maintains the day to day administrative services to support faculty, staff, and students in the McCourt School and creates a professional office environment. S/he coordinates, oversees, and/or performs a wide variety of administrative and program support activities on behalf of the McCourt's School, Office of the Dean; serves as the initial point of operational and administrative contact for internal and external constituencies; and creates and revises systems and procedures by analyzing operating practices. Duties include but are not limited to:

General Office Administration

  • Coordinates Front Desk duties.
  • Ensures a professional environment.
  • Develops and maintains a school-wide directory for McCourt.
  • Maintains an inventory of office supplies, including swag, stationary, and business cards.
  • Handles distribution of incoming mail and schedules all outgoing pick-ups with courier and mail service companies.
  • Arranges for and schedule vendors and other service personnel to provide repair and regular maintenance of office machines such as copiers and printers.
  • Identifies suppliers, services, vendors, and equipment necessary to maintain efficient operations of the McCourt School.
  • Schedules the use of McCourt facilities.
  • Serves as the primary administrative contact with Department of Public Safety and University Facilities office.
  • Oversees facilities management for the McCourt School.
  • Maintains the integrity of keys in McCourt facilities/offices.
  • Ensures procedures are in place for proper building security and that good communication exists between McCourt and Department of Public Safety in the event of a breakdown in security.
  • Handles office moves, including the coordination of telephone services.

Faculty Support

  • Initiates processing for faculty reimbursements.
  • Ensures the timely completion of all work requests made by faculty members.
  • Schedules and reserves audio visual and other technology equipment for faculty.
  • Schedules space for faculty for special activities. 
  • Orders classroom supplies and other materials for faculty as needed.
  • Coordinates travel arrangements for core faculty candidates and external visiting faculty.
  • Assists faculty in scheduling meetings of McCourt School Committees.
  • Provides ongoing support to faculty for other administrative needs.

Student Support

  • Recruits and manages work study students.
  • Handles onboarding for new McCourt Student employees.
  • Administers weekly time and attendance records for all students (including GAs/RAs/TAs).
  • Initiates processing of student reimbursements.

General Administration Support

  • Acquaints new employees to the McCourt School.
  • Serves as a GMS Requisitioner for the McCourt School.
  • Assists Executive Assistant in developing and managing the Dean's Office budget.
  • Handles special projects from McCourt Administration.

Requirements

  • High school diploma or certified equivalency - some college coursework completion preferred
  • 1 - 2 years of administrative experience preferred
  • Computer literacy with specific familiarity with Microsoft Word, PowerPoint, Excel, Calendaring software and Google Docs
  • Strong verbal and written communications, interpersonal, and customer service skills 
  • Ability to work effectively with others as a member of the team
  • Ability to work simultaneously on multiple tasks and projects with varying degrees of complexity and numerous interruptions
