Under the direct supervision of the Associate Director, Education the Specialist assists in the planning, development, delivery and evaluation for the annual meeting, ENDO.  Serves as secondary liaison to the Annual Meeting Steering Committee (AMSC), supporting the Associate Director, Education in the development of the ENDO Scientific Program including implementing the planning database for abstract and faculty management.


What you'll bring to the job:

  • BA/BS degree required, or equivalent experience 4+ years of prior experience. Previous association experience with abstract management is a plus;
  • Experience developing CME programs is preferred, particularly with an association’s annual meeting;
  • Strong attention to detail, particularly when proofreading;
  • Proficiency in Microsoft Office, specifically in Outlook, Word, PowerPoint and Excel required. Faculty management database experience helpful, experience cOASIS.  Ability to learn new technology as required.

What you'll own:

  1. Manage the scientific program database (cOASIS by CTI) which is used to support the annual meeting and other programs.  Work closely with the cOASIS project manager to support the diverse program types, including the design and annual refresh of:
    • Program suggestion site
    • Faculty corner for invitation, disclosure and confirmation
    • Abstract submission site
    • Abstract grading and scheduling sites
    • Preliminary program site
    • Itinerary planner
  2. Serve as a liaison to the Annual Meeting Steering Committee:
    • Assist in the preparation of committee agenda materials and background information to support planning including: orientation materials, background planning materials to include previous meeting program and evaluation data, historical information, committee and general membership program suggestions, surveys, focus groups, reports, etc.
    • Conduct editorial review of ENDO-related publications: ENDO Daily, web program, etc. in conjunction with or on behalf of the committee members and in collaboration with the marketing; publications; and various vendors.
  3. Maintain the accuracy of data and database outputs. Manage the flow of data between databases and vendors, including data for the:
    • Conference capture site
    • Marketing materials including Advance Program
    • Meeting Mobile App
    • ENDO Daily
    • Meeting Personal Scheduler
    • Meeting Web Program
  4. Support the Scientific Program Team in the development and analysis of meeting data, including:
    • Creating reports by request of the meetings and education department and other departments
    • Manipulating and analyzing data from vendors such as cOASIS program data, registration data, CME evaluation data, session attendance data, and conference recordings data for committee reports and internal analysis.
    • Runs diagnostic reports and corresponds with faculty as needed to ensure deliverables are received to meet deadlines
    • Preparation of reports/figures/graphs such as those included in the Annual Meeting Steering Committee (AMSC) Background Book and Planning Meeting Book.
  5. Responsible for updating web copy for the Scientific Program Team via SiteCore web content management system.
  6. Assist the Scientific Program Team to regularly review and update the master planning documents and timelines to ensure smooth planning and execution of ENDO.
  7. Manage the application process, review and selection of the Delbert A. Fisher Scholar and presentation of the Clark T. Sawin Lecture.
  8. Provide strong customer service; responds to queries from abstract presenters, potential attendees, and committee members.
