Senior Office Assistant - Office of Development
The National Academy of Sciences, National Academy of Engineering, and National Academy of Medicine work together as the National Academies of Sciences, Engineering, and Medicine to provide independent, objective analysis and advice to the nation and conduct other activities to solve complex problems and inform public policy decisions. The National Academies also encourage education and research, recognize outstanding contributions to knowledge, and increase public understanding in matters of science, engineering, and medicine.
The Office of Development is responsible for fundraising from private, corporate and foundation sources for the National Academies.JOB SUMMARY: Under general supervision, performs a variety of clerical and administrative services. Provides assistance with activities and/or processes specific to the operating unit, including compiling basic statistics and reports and maintaining records, files, and databases. Coordinates meeting and travel arrangements and prepares related materials. Responds to general inquiries. Provides clerical and administrative office support, typically for operations or other offices, not one of the organization’s programs. Requires knowledge of organization operations, organizational procedures, and staff. Makes independent decisions within established guidelines regarding planning, organizing, and scheduling of work. May lead and provide functional guidance to lower level support employees. ESSENTIAL JOB DUTIES: 1. Performs a variety of office tasks, including answering telephones, preparing routine correspondence, maintaining calendars, arranging conference calls, and maintaining records and files. 2. Provides specialized support for activities under the purview of the unit. 3. Makes travel, lodging, and other logistical arrangements for meetings. Assists with preparation of meeting materials and other documents in support of unit activities. 4. Prepares and processes invoices, purchase orders, and travel expense reports. 5. Responds to general inquiries and communicates unit information to both internal and external customers. 6. Maintains familiarity with policies and procedures affecting the unit’s work and carries out assignments in accordance with these policies and procedures. 7. May assist with updating and maintenance of the unit’s web and intranet pages. REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES: Ability to solve problems using selection and application of commonly used procedures, precedents, and rules. Ability to work successfully in a team environment. Ability to develop relationships with co-workers and employees in other National Academies’ departments through effective communication. Good communication skills with a proven ability to effectively interact with all levels of employees.
