Department Administrator, Department of Biology - Georgetown College

Founded in 1789 as the nation's first Catholic institution of higher learning, Georgetown College is committed to the Jesuit traditions of an integrated education and of productive research in the liberal arts, including fine arts, humanities, languages, sciences, and social sciences.

The Department Administrator provides administrative support to the Department Chair and department, as well as service to the faculty of the Department of Biology.  Reporting to the Department Chair, s/he fulfills the role of Department Administrator in Georgetown College, and in this capacity of finance, business operations, and recruitment/hiring, has a dotted line reporting relationship to the Senior Associate Dean for Finance and Administration of Georgetown College.  Supervising 2 full-time staff employees and part-time undergraduate assistants, the Department Administrator has duties that include but are not limited to:

  • Human Resource Administration: Completes and submits all HR-related and faculty appointment and promotion paperwork for approximately 85 tenure line faculty, non-tenure line, term and adjunct faculty, researchers, graduate students and staff; processes hiring and termination documents of 25-30 undergraduates per semester; and prepares dossiers for promotion and tenure cases
  • Department and Finance Administration: Maintains confidential records; provides budgeting support to accounts analyst and Chair; administers the department's overall financial operation, which includes monitoring the budget, expenditures, salaries, and distribution of departmental resources; and oversees preparation of departmental annual report
  • Academic Support: Coordinates course scheduling with the Office of the Registrar for Fall, Spring and Summer terms; coordinates space scheduling for department teaching labs and classrooms; coordinates with Office of the Registrar and other science departments to find spaces for seminars and committee meetings outside of regularly scheduled times; and maintains and updates web content in university systems (e.g., Explore, Banner)
  • Facilities Management: Coordinates facilities management requests and inventory in labs, common spaces and offices for Reiss and Regents; Coordinate GOCard and key access to all biology research and teaching labs
  • Program Management: Coordinates special programs which involve Biology faculty and students, for example, Institute for College Preparation, special funded REUs, and SCS summer programs

Requirements

  • Bachelor's degree or a combination of academic achievement and relevant practical experience.
  • At least 5 years of supervisory experience and knowledge of Georgetown University human resources policies and procedures
  • Proficiency in Microsoft Office Suite, with a mastery of Excel (for example, pivot tables, vlookups, macros, etc.) and experience and/or familiarity with managing large volumes of data and database queries
  • Detail-oriented, service-focused professional demeanor and a team orientation Knowledge of Georgetown University procedures for payroll, purchasing, and accounts payable transactions preferred
  • Experience with financial management systems preferred - specifically Workday
