Legal Assistant OrganizationThe American Academy of Actuaries (The Academy) is a DC-based 19,000+ member professional association whose mission is to serve the public and the US actuarial profession. Academy members include consultants, corporate executives and staff, regulators, government officials, academicians, and retired actuaries. Their areas of practice cover pensions, life insurance, casualty insurance, health insurance, financial reporting, risk management, and more. The Academy assists public policymakers on all levels by providing leadership, objective expertise, and actuarial advice on risk and financial security issues. The Academy also sets qualification, practice, and professionalism standards for actuaries credentialed by one or more of the five US-based actuarial organizations in the United States. Many of today's most pressing public policy issues require the sound application of actuarial principles. The Academy provides actuarial expertise and advice to public policy decision makers on a wide array of issues that require the special set of skills and qualifications that actuaries offer. It also advocates on behalf of the profession and promotes the use of actuaries in non-traditional industries. PositionAs the Legal Assistant, you will support the general counsel, the director of professionalism, the assistant general counsel, and the staff attorney for the Actuarial Board of Counseling and Discipline (ABCD), and work directly with colleagues across departments, Academy leadership, and Academy volunteers. You will coordinate details and planning for a wide range of projects including legal research and reporting, event planning, webinar coordination, corporate filings, and presentation development. You will manage administrative tasks of the ABCD, assist in activities to promote the professionalism mission of the Academy (including by providing administrative and other assistance to the Council on Professionalism and related committees), and provide paralegal support for the Legal and Professionalism department and the Academy's discipline committees. In addition to your strong administrative and paralegal skills, your success will be defined by your ability to prioritize and manage a diverse flow of work, stay organized, anticipate the needs of other people, and communicate well with internal stakeholders. Your ability to be flexible when taking on new assignments is critical, as is your willingness to be a team player committed to good communication and consultation. You will confidently engage with Academy staff and volunteers of all levels and apply good judgment and professional discretion in all of your interactions. Responsibilities of the Legal AssistantSupport for the functions of the ABCD: Assist the staff attorney in the conduct of investigations, hearings, and other ABCD activities. Perform legal support functions that require discretion and independent judgment. Perform proofreading, word processing, data management, and data entry as required; ensure proper spelling, grammar, format, and arrangement of materials. Conduct filing, management, and organization of ABCD records and files. Draft and send correspondence. Compile statistics for the quarterly reports and the Annual Report. Distribute materials to members, investigators, complainants, and subject actuaries. Schedule meetings, hearings, and court reporters. Arrange travel, including scheduling transportation, making hotel reservations, and preparing necessary expense reports. Maintain member lists, labels, etc.Support for the professionalism mission of the Academy: Provide administrative and other support to the Council on Professionalism and related committees. Maintain files, including organizing, filing work, and related maintenance. Assist in preparing correspondence to a variety of audiences. Proofread all work product, including, but not limited to, meeting minutes, memoranda, letters, PowerPoint presentations, and other materials as needed. Set up and take responsibility for scheduling meetings and conference calls in a timely manner and attend them in a supporting role, as requested. Update and maintain committee rosters for the professionalism-related committees on a timely basis. Assist in the preparation and execution of professionalism seminars, webinars, and other education mediums as needed. Provide administrative support in connection with all of the foregoing.Support the additional functions of the legal department: Assist in the preparation of lobby reports and corporate filings. Provide support to Academy counsel for disciplinary matters. Review routine vendor contracts and copyright permission requests. Undertake legal research, as requested.Qualifications as the Legal Assistant Bachelor's degree. Four or more years of experience working in a legal department, ideally as a paralegal or in a related position. Experience providing executive-level administrative support is a plus. Excellent analytical, communication, and organizational skills with attention to detail. Excellent interpersonal communications skills. Quick learner with interest and willingness to understand the organization and functions. Proficiency in MS Office Suite (including Excel and PowerPoint) and database systems.
