Reporting to the Senior Benefits Manager, the Senior Benefits Analyst will be responsible for assisting with the administration, operation and reporting for the overall benefits programs for the employees in the North America region, including the United States and Canada. Responsibilities include the management of day-to-day operations of group benefit programs (group health, dental, short-term and long-term disability, life insurance, and 401(k)/ RRSP plan) sponsored by the employer.The position also assists with the full outsourced model of retirement investment administration including support of management of external vendors and collaboration with internal departments (ie payroll, finance, legal and human resources). Main Duties and Responsibilities:Reviews and analyzes changes to federal, state and provincial laws pertaining to benefits, and reports necessary or suggested changes to management and human resources. Coordinates company benefits, with government sponsored programs.Works with internal HR, HRIS and benefits staff, as well as outside vendors, ensures integrity of all benefits related to employee data. Ensures compliance with HIPAA and other privacy regulations as it relates to benefits administration.Assists with the administration of all North American retirement and executive retirement investment programs (including 401k plans, defined benefit plans, supplemental executive retirement plans, Registered Retirement Savings Plans, and defined contribution plans).Supports overall retirement investment communication strategy including new hire orientation materials, on-going employee communications, exit materials, and annual enrollment communicationsPrepares reports to ensure compliance of benefits programs to include but not limited to regulatory filings such as all 5500 filings, 401k discrimination testing, and Employee Retirement Income Security Act external audit requirements.Prepares reports and applications required by law to be filed with federal, state and provincial agencies, such as the Internal Revenue Service, Canada Revenue Agency, US Department of Labor, Financial Services Commission of Ontario, insurance commissioners, and other regulatory agencies.Processes weekly vendor import and export files including benefits eligibility administration, and banking processes for the retirement plans.Makes recommendations to improve work flow efficiencies and automation of processes.Works closely with benefits administration outsourced vendors on escalated employee benefits eligibility issues and interpretation, as well as troubleshooting and resolving technology issues. Escalates complex issues to manager for review and resolution.Coordinates monthly benefits billing invoice processing including initiation of payment, reconciliation of issues, tracking, and tools for budgeting.Assists in the maintenance and updates of employee benefits website including company intranet, and provide input on information to be posted on vendor websites.Assists with preparation of annual benefits compliance filings - 5500 reporting, SAR mailings, SPD distribution.Assists with special benefits projects (ie: wellness initiatives, audits, open enrollment) as directed.Coordinates wage and benefits eligibility verification for private and State disability claims.
