Receptionist- Part time - 20 hours weekly - SECRET CLEARANCE REQUIRED
Performs a variety of general administrative tasks in support of the day-to-day operations of an office, group or customer. 1. Performs a variety of general administrative tasks, such as preparing reports and correspondence, answering phones, filing, and sorting and distributing mail, in support of the day-to-day operations of an office, group or customer. 2. Compiles various contract, program, and financial data using various database programs, and prepares monthly status reports based on the results. 3. Collects and inputs timesheet information into automated accounting system and processes labor corrections. 4. Processes purchasing requisitions, invoices for consultants and subcontractors, and travel and expense reports. 5. Serves as point of contact for the office or group on issues related to accounting, human resources, purchasing, and other departments, as well as outside contacts such as customers, vendors, and subcontractors. 6. Participates in special projects as required. UNIQUE DUTIES: Position requires flexibility within a 20 hour work week. • Administrative support to Facility Manager and Site Manager • Administrative support to our site, JSF and DSCA in development of Power Point, duplication, and outgoing mail • Support Reception Desk and Visitor Control • Monitoring of Visitors • Cross check all foreign visitors against the Approved Foreign Visit Request List with our FSO • Issue appropriate GDIT Visitor Badge to all site visitors • Maintain and supply: copy room, fax machine and kitchen • Manage Conference Schedule, usage requests and support requirements • Maintain Visitor Logs and Rosters for Meetings, providing a record of all visitors • Assist Conference Room Meeting Leaders in AV and VTC setup and support for meetings • Maintain the cleanliness and readiness of all Conference Rooms and Team Rooms • Announce meeting locations by posting signage on conference rooms • Provide escorts for Visitors, as needed • Preparation and distribution of monthly usage reports for all conference rooms • Preparation of all outgoing FEDEX and UPS packages • Receipt, tracking and distribution of all incoming packages and supply shipments • Management of shipping supply inventory • Parking administration and invoice management: Validation stamps and monthly parking passes • Security Management, during work hours - Badge and Access Control, backup - Alarm responses, primary responsibility - Monitoring of Visitors, primary responsibility - Key Control, backup -Backup for opening the office: open doors, turn off burglar alarm, lights, start up kitchen services - Monthly productivity report to manager Education 1. Requires a High School Diploma or GED. 2. Associates Degree preferred. Qualifications 1-3 years of related administrative experience.
