Our community-based programs are designed to support and strengthen families, enrich the lives of individuals with disabilities, create stronger communities, and reduce system wide health care costs. These traits were demonstrated most recently in the opening our Inter-Generational Center, which has quickly become an international model of excellence for delivering superior outcomes including creating meaningful connections between generations. It was opened through visionary partnership among local, state, and national government as well as private individual, corporate, and foundation investment. The shared resources created a maximum return on investment for the community. ESDCMDVA delivers exceptional services through a network of 14 sites and provides Adult Medical Day Care, Senior+, Early Child Development and Education, Respite, and Workforce Development services where participants and their families find support, hope, medical care, and enjoyable activities. In addition to serving the overall community, our programs place a special emphasis on the special needs of wounded warriors, veterans, active duty military, and their families. Our unique and dedicated staff of over 200 professionals includes specialists in education, therapy, senior services, social work, assistive technology, nursing, and related professions. In addition, as a part of the Easter Seals Inc. international network, we are able to draw on the resources of almost 25,000 to ensure we remain at the cutting edge of service delivery. Position Summary: The Assistant Director, Adult Day Services is responsible for providing administrative and management support including but not limited to: answering telephones, billing and collection, processing Center bills, making deposits, scheduling center tours and intakes, insuring all requisite paperwork is in order prior to participant admissions, and other duties as assigned. The position reports to and works closely with the Center Director to ensure smooth Center operations. Essential Functions: * Assist Center Director to develop and implement program policies, goals, and objectives as they relate to operations, admissions, and marketing. * Attend monthly networking meetings. Prepare weekly marketing list and ensure that it's completed in the following week. * Answer the phones and direct all incoming phone calls, as well as provide general information to the public, including client inquiries. Respond to all inquiries within one business day and maintain regular contact with participants, families and care providers, and community professionals to convert inquiries to enrollment. * Schedule and conduct tours of the center for potential participants, referral sources, and potential community partners. Schedule trial days. * Provide comprehensive information to the appropriate staff regarding all new participants prior to admission including demographic and diagnostic information, available medical records, and funding source information. * Perform intake process expediting enrollment and service delivery whenever possible; completing admissions paperwork, make calls to care providers, physicians, and other appropriate contacts to ensure completion of paperwork in a timely fashion ensuring proper consents and verifying funding source(s). * Take and complete daily census. Prepare all attendance records. * Maintain tracking systems for inquiries, referrals, trial says, and contacts. Complete monthly report. * Prepare, send out, and file billing monthly for all clients and payer sources. * Maintain and monitor accounts receivable and perform collections phone calls and letters as appropriate. * Prepare accounts payable weekly for Center Director's approval * Order supplies and provide record keeping for center expenses. * Attend client update weekly and prepare minutes as appropriate. * Maintain and track all company wide and medical adult day care trainings. Maintain and audit the food program's documents. Ensure all center licenses and staff licensures are up to date. * Provide Support to Activity Team as needed * Other duties as assigned. Working Schedule: Monday-FridayEducation/Experience:* Bachelor's Degree required.* At least two years of administrative experience.* Two years' experience in geriatric setting, involving face-to-face interaction and problem solving with seniors and their caregivers.* Demonstrated strong leadership skills.* Demonstrated ability to interact effectively, professionally and positively with participants, families, co-workers, as well as with professional and lay communities.Language Ability:* Proficiency in reading, writing, and speaking the English language.* Ability to interact effectively and professionally with participants, families, and professional referral sources.Reasoning Ability:* Must be able to follow instructions quickly and easily and seek out direction promptly.* Must be able to handle multiple tasks.* Must be able to work with minimal supervision after instruction is provided.* Must be aware of potential hazards or problems within the environment and seek out supervision promptly.* Must be aware of confidentiality of client information.* Self-motivated and able to take responsibility for Center management.* Strong attention to detail required.* Ability to take initiative and problem-solve.Computer Skills:* Assistant Director must demonstrate proficiency using computer and database systems. * Proficient knowledge of Word, Excel, and e-mail/Internet is essential. * Assistant Director must be able to assist other staff in utilizing computer systems.We are an equal employment opportunity employer.
