Requirements

Business Operations Manager - Division of Student Affairs 

The Business Operations Manager provides financial, personnel, and administrative organization and direction - primarily for the Office of Residence Life, with assistance to the Division of Student Affairs as a whole.  Reporting to the Student Affairs Senior Director of Finance and Administration, and collaborating on a regular basis with the Director and the Assistant Directors of Residence Life, the Business Operations Manager has duties that include but are not limited to:

Financial

  • Creates quarterly budget projections outlining current expenditures and makes decisions concerning spending and spending patterns.
  • Distributes the budget to more than 30 cost centers.
  • Provides clear and consistent direction regarding budget and administrative matters to both professional and student staff.
  • Trains and provides guidance to 24 professional staff and 400 student staff on developing and maintaining budgets.
  • Reconciles the main departmental budgets monthly according to established University and departmental procedures.
  • Reconciles the hall budgets monthly according to established University and departmental procedures and meets with each staff member monthly to ensure funds are spent appropriately.
  • Allocates payroll and submits payment for professional and student staff.
  • Manages the University credit card (ProCard), processes forms related to reimbursements, purchasing, and expenses for the department; and coordinates bill payment.

Financial Management for Sponsored Project

  • Handles the financial management of the sponsored project to ensure compliance with sponsor's requirements and University's policies and procedures.
  • Within specific timelines, performs the following duties: reviews and reconciles expenses on the Center Status Reports Review salary distributions; reviews associated fringe benefits for accuracy; reviews the commitments of key personnel; reviews the calculation of indirect cost recovery to ensure accuracy; and processes all corrections and adjustments within time specified and ensures corrections and adjustments are reviewed and approved in accordance with policy.
  • Completes the Financial Status Report (FSR) worksheets timely and accurately; and ensures that payments to sub-recipients are reviewed and processed in a timely manner.

Administrative

  • Understands and submits forms in a timely fashion.
  • Creates and uses technological tools to enhance communication, quality, consistency and efficiency.
  • Maintains records of past employees and maintains payroll for employees in the department.
  • Coordinates hiring paperwork including I-9s for all professional and student staff.
  • Coordinates the administrative side of professional and paraprofessional staff selection.
  • Inventories, orders, and maintains stock of necessary supplies, and coordinates purchase of cellular communication.

Communication

  • Interacts with students, parents, and members of the Georgetown University community.
  • Communicates with prospective candidates.
  • Responds to student or parent concerns.
  • Serves as a resource to other staff members.

Communication/Liaison

  • Actively participates on various Student Affairs and/or campus-wide committees
  • Interacts with students, parents, and members of the Georgetown University. community.
  • Communicates with prospective candidates, and responds to student or parent concerns.
  • Serves as a resource to other staff members.

Leadership Development & Training

  • Assesses goals and objectives.
  • Clearly articulates the purpose, mission, and goals of Residence Life and Student Affairs to others.
  • Engages personnel within the department to accomplish goals and objectives.
  • Builds supportive relationships with staff members.

Requirements

  • Bachelor's degree
  • Preference for 2 years of financial and administrative experience
  • Ability to exercise initiative for accomplishing tasks and use sound judgment concerning University and Student Affairs policies and procedures
  • Understanding of a complex budgetary system and the ability to articulately explain the system to others
  • Ability to communicate effectively - both in writing and in speaking
  • Ability to listen well and elicit feedback, and to encourage collaboration and sharing of information
  • Ability to exhibit a positive sense of teamwork and to share responsibility for tasks
