Conservation International (CI) is seeking a self-motivated, detail-driven individual to join the Human Resources team as our HR Coordinator.  The HR Coordinator will deliver support and guidance to CI’s US based staff in a variety of functional HR areas.  Playing a critical role, the HR Coordinator will act as the central communication point for more than 350 employees in a generalist capacity from recruiting and on-boarding to immigration.

With other members of the HR team, the HR Coordinator will facilitate and support the on-boarding and orientation of new employees as well as employee engagement activities throughout the year.  S/he will support a team of HR Business Partners both in the US as well as globally.

The successful candidate must be an organized team player and have the ability to support multiple individuals and priorities.  S/he must enjoy challenges, task driven work, and a variety of personalities as well as understanding the critical nature of their work in support of CI’s mission.

RESPONSIBILITIES:

Recruiting and Hiring

    Support recruiting and hiring process by posting all US jobs and advertisements on the CI intranet and internet in accordance with CI’s job posting requirements and supporting recruitment efforts through CI’s applicant tracking system. Support global job postings and provide guidance and support for global recruitment, advertising and processes Track and report on open positions and new hires Support International Assignee paperwork, processes and tracking Generate Patriot Act screening, background screening, generate offer letters and other agreements or amendments and legally required employment processes Prepare hiring packets for new employees Support HRBPs with routine immigration paperwork, including work visas and PERMs Follow checklists and other procedural systems in place or as instructed, and recommend process improvements as appropriate
On-boarding and Employment

    Play a lead role in the first day on-boarding process, engaging with new employees and explaining and collecting employment and benefit documents along with verification of I-9s, tax forms, and other new hire paperwork Coordinate the new employee monthly orientation program including logistics, enrollment, and feedback survey results Coordinate 60 day check in meetings with new employees, tracking, reporting, analyzing and making suggestions for continuous improvement in the on-boarding process Support the HRBPs in the performance management and annual performance appraisal process Prepare separation paperwork for exiting employee Serve as the first point of contact for employees, responding to employee inquiries Process employment verifications Serve as point of contact for division operations leads
Administrative Support

    Support logistic for HR events such as workshops and trainings with international participation, including support with letters for obtaining visas Support logistics for US training events including the US annual awards ceremony Create and maintain logging and tracking systems to manage status and outstanding follow-up actions on both ongoing and project work Supports critical HQ/Field projects, such as the bi-annual New Hire Orientation for field staff Receive global paperwork and payroll for all international assignees Support audit of all payroll transactions Maintain file room and audit accordingly Process financial and contractual transactions in accordance with CI policies and procedures, utilizing CI systems.  Prepare check requests and/or handle other bills as needed. Support global HR Business partners with travel arrangements if needed.

QUALIFICATIONS:

Required:

    3+ years of related work experience in Human Resources Excellent organizational abilities to handle multiple tasks, establish priorities, and consistently meet deadlines Willingness to contribute to the team by working collaboratively and proactively and on multi-functional teams Proficiency in all Microsoft Office programs with solid understanding of Excel and PowerPoint Proven ability to learn new programs and computer skills as necessary Superior level of organization and attention to detail in data entry, drafting, reviewing and proofing documents, emails, and other communications Excellent spelling, grammar and written communications Strong interpersonal skills and ability to handle sensitive and confidential situations and documents Previous experience and responsibility for ensuring and maintaining data accuracy and integrity Basic knowledge of US Federal employment laws Comfortable with ambiguity and willing to take initiative and to suggest resolutions to issues or improvements to processes Self-directed problem solver Demonstrated ability to handle confidential sensitive issues and information
Preferred:

    Bachelor’s degree Work experience in US immigration processing Work experience in a non-profit and/or international setting Experience with various technology systems and applications including Taleo, Sharepoint, and BusinessWorld (formerly Agresso) or other related HRIS system
