EXECUTIVE ASSISTANT TO THE PRESIDENT AND CEO
The National Women's Law Center (NWLC) seeks an experienced Executive Assistant who will provide quality administrative support to the incoming President and CEO and also serve as one of the liaison’s to the leadership team and the board.
The Executive Assistant will have the ability to think proactively and respond quickly and efficiently and must possess strong administrative, written and verbal communications, and organizational skills, with the ability to prioritize projects and the needs of the organization while handling multiple priorities with frequent interruptions.
JOB DUTIES AND RESPONSIBILITIES
Works closely and effectively with the President and CEO, keeping the President and CEO well informed of upcoming commitments and responsibilities, and follows up appropriately.
Provides a bridge for smooth communications between the President and CEO’s Office and internal/external departments; demonstrating leadership to maintain credibility, trust and support with stakeholders. Stakeholders include, but are not limited to, NWLC staff, Board members, and key constituents, including policymakers and news media.
Assists in management of President and CEO’s social media accounts.
Manages the President and CEO’s schedule, receives and routes correspondence and telephone calls; addresses issues, questions and complaints; composes replies, provides information in response to inquiries from other departments, employees, outside agencies, visitors, members of the press and the public. Ensures there are no scheduling conflicts in the executive calendar and that the President and CEO is properly scheduled and equipped with all support materials related to that event.
Prepares for various meetings by contacting all parties involved, preparing the meeting site with any necessary equipment and/or refreshments, as required. Assists in the preparation of presentation tools and materials as needed.
Prioritizes conflicting needs; handles matters expeditiously, proactively, and must demonstrate great follow-through on projects to ensure successful completion, often with short deadline.
Ability to handle sensitive situations.
Must be able to work under pressure at times and handle a wide variety of activities and confidential matters with discretion.
Assists the President and CEO in the preparation of specialized reports and projects.
Manages complex travel schedule, preparing President and CEO’s travel itinerary and arranges for transportation and other business needs and/or agendas, including airline, hotel, car rentals and other meeting location/lodging.
Prepares and completes expense reports for President and CEO and forward to the President and CEO’s accounts payable department for processing.
Oversees maintenance of records, files, equipment and supplies for the President and CEO.
Additional duties as assigned.
Extended hours are occasionally required to cover President and CEO events.
Bachelor’s degree required and five (5) years of recent and relevant experience in office management and administrative support function or an equivalent combination of education, training and experience supporting top level executives, preferably within government, corporate or non-profit organizations. Candidate should have experience managing social media accounts or be willing to learn. Must be proficient in MS Office Suite (including advanced functions), and ADOBE. Must be able to type 55-60 wpm. They should be able to work effectively under pressure, work independently or as part of a team, and interact professionally with all levels of staff and constituents. Ability to multitask, attention to detail, and excellent written and oral communication skills are critical.
