Job Description

Position Summary
The Project manager is responsible for forecasting and tracking the financial spent of the marketing departmental budget. In addition, this person spearheads and manages the execution of nationwide events, such as tradeshows, and special programs. Finally, this person is responsible for creating marketing campaigns for each applicable program or event and supervising the execution of these campaigns by working with a cross-functional team. Essential Duties and Responsibilities

Budget Management (30%)
• Daily approve the coding of invoices and check request; making sure it is compliant with the departmental guidelines
• Track weekly the department expenses and provide solutions if the department goals are not met
• Lead annual and monthly budget meetings to plan and forecast expenses; and meet budget
• Issue Bi-monthly a progress report of the marketing expenditure to the marketing department goals
• Monthly issue co-op invoices to vendors and reconcile payment with the finance team
• Report as needed on marketing expenses to the financial department and executive team
• Supervise the updates and maintenance of the Access database "budget tracker"
• Enforce current departmental procedures and implement new procedures
• Update the procedure manual and communicate changes effectively with the team
• Provide solutions and guidance to resolve issues relating to the budgeting and payment processing system
• Perform monthly financial reconciliation exercises to match enterprise reports

Event Management (45%)
• Build annually the national tradeshow calendar with the National School & Affiliate School Director
• Lead annual and monthly meetings with all teams to plan and forecast expenses and revenue for tradeshows
• Supervise the coordination of logistic, staffing, visual merchandising, product pricing of these tradeshows
• Communicate pro-actively and vigorously these expectations with the cross-functional teams
• Supervise in-person the execution of five to ten high-level tradeshows; light travel will be required
• Design and supervise the production of new displays, signage, and fixtures for the booth
• Secure new furniture, equipment and resources for the exhibit booth
Special Events
• Plan and manage the execution of workshops, receptions, repair clinics and other special events

Marketing Management (25%)

• Strategize and design multi-channel marketing campaigns for the following programs: tradeshows, piano workshops, Music Educator of the year, Repair Clinics, Midwest reception, and Repair brand services
• Track and report the performance of each marketing campaigns to upper level management


The qualified candidate will possess:

Software knowledge requirements
• Proficiency in Microsoft Office Suite, particularly Excel and Outlook
o Excel: Able to write basic and advanced formulas, capable of using tools such as "sort, filter, find"
o Word: can copy and paste, create forms, table of contents and mail-merges
o Outlook: Able to navigate and use advanced tools
o Comfortable working with large amounts of data
• Proficiency in using online tools and advanced search engines
• Proficiency in PowerPoint: can create a basic presentation in PowerPoint)
• Proficiency in navigating through numerous digital archives and maintain them daily meticulously
• Knowledge of Microsoft Access and Projects (preferred)

Required Experience
Education and Experience
• Bachelor's degree in business, particularly in management, finance or marketing equivalent work experience (preferred)
• Associate degree in business administration or equivalent work experience
• 5 years of experience in project management
• 3 years in budget management
• 2 years in marketing
• 0-1 year of experience music retail or direct sales - B2B (preferred)

• This role may require flexible hours (evenings or week-end)
• This Position is located in Frederick, MD (Closest metropolitan areas are Baltimore and Washington D.C.)
