The Department Administrator provides administrative and clerical support to the Department Chair and Director of Graduate Studies, as well as provides service to the faculty of the Department of Mathematics & Statistics. Reporting to the Department Chair, the Department Administrator has duties include but are not limited to:

  • Keeps current on Undergraduate and Graduate School policies, procedures, and guidelines, and maintains regular communication with faculty, staff and students to ensure smooth operation of the department and of the graduate program.
  • Works with the Registrar and the Course Leaf system on course listings for the timetable of classes.
  • Administers the department's overall financial operation - monitors the budget, and analyzes expenditures, salaries, and distribution of departmental resources. 
  • Processes payments for invoices and employee reimbursements.
  • Makes recommendations to the Chair based on extensive analysis according to the guidelines and standards. 
  • Maintains the department website and participates in analysis and problem resolution involving financial, administrative and policy matters.
  • Fulfills the role of Department Administrator in Georgetown College, and in this capacity of finance, business operations, and recruitment/hiring has a dotted line reporting relationship to the Senior Associate Dean for Finance and Administration of Georgetown College.

Requirements

  • Bachelor's degree
  • 2 to 3 years of office management and office administrative experience - preferably in academic administration and/or financial management systems
  • Strong interpersonal skills, excellent communication skills (both verbal and written) and the ability to prioritize and perform multiple tasks simultaneously with little supervision
  • Computer skills and working knowledge of Microsoft Office (Word, Excel, PowerPoint and Access)
  • Knowledge of web-design, web-maintenance and Course Leaf systems
  • Experience in Blackboard and GMS Financials - preference for Banner experience
  • Strong attention to detail and deadlines
