The George Mason University Office of the University Registrar invites applications for a Registration Services and Operations Specialist. The Office of the University Registrar actively supports and leads change while serving as a strategic partner to those the Office serves, focusing on the ways to become more efficient, effective, and improving services to University constituents in meeting the needs of an evolving higher educational environment.

Position Summary: * Implement the academic policy of George Mason University as well as applicable federal and commonwealth laws; * Provide high-level, customer-oriented services to student, faculty, and administrative customers; * Balance competing needs of various constituencies as fairly as possible and within the confines of the Family Educational Rights and Privacy Act of 1974, as amended; and * Functional areas include academic records, transcripts, certification, domicile appeal, graduation, registration, scheduling, and reports on student data.

Responsibilities: * Update and maintain accurate student academic records, primarily in electronic format; * Communicate and solve problems regarding academic policy and procedure as it affects the student academic record; customer base includes students, faculty and staff (extensive breadth and depth of knowledge of George Mason University academic policy form the basis for this work); * Responsible for enforcing Registrar’s Office and University policy regarding various Enrollment Services functions and requires extensive knowledge of federal and state regulations concerning the privacy of student records; and * Position includes student customer services at a higher level of complexity and sensitivity than those handled directly by Enrollment Central or via PatriotWeb.

Customer Service: * Provide high-quality customer service in all aspects of the position in spite of often difficult and aggressive student and faculty clientele; and * Serve as a customer service representative of the Registrar’s Office: provide high quality customer service in all aspects of the position; say “yes” to customer requests as often as possible, within the bounds of university policy; listen for the unspoken part of questions or dilemmas; offer alternative creative solutions; follow through in a timely manner; be aware of record confidentiality; and follow FERPA when communicating with students, parents, and faculty.

Cross-Functional Support: * Serve as a front-line operations representative in the Office of the Registrar; * Assist students, faculty, and staff with detailed issues related to registration, records, transcripts, and graduation; and * Answer initial inquiries regarding admissions, certifications, and domicile.

Grade Support: * Review Change of Grade forms for acceptability and accurately record in Ellucian Banner; * Determine if grade change will impact academic status and change if necessary; * Determine if Extension of IN requests are within policy; * Change IN grades to IX and record deadline date; * Check bimonthly for deadline expiration and convert to F or NC (with reason A); * Develop and utilize expertise with both faculty self-service and Banner grading procedures, policies and issues; and * Be the primary resource for other staff (who may assist with changes), faculty, grading coordinators, and students for grading matters.

Record Maintenance and Review: * Ensure correct signature provided on forms for undergraduate Dean’s overrides; * For name and social security number changes or additions, ensure that proper documentation is provided; * Assure that e-mail answers given to members of the university community are accurate; and * If the questions should be directed to another department, refer e-mail to the appropriate area.

Required Qualifications: * B.A. or B.S., or an equivalent combination of education and experience.

Preferred Qualifications: * Customer service experience; and * Higher education experience.
