Provide Administrative/Clerical support on-site and support and assist the FSO with day-to-day security activities.

Essential Job Functions:

Front desk operations including answering multi-line phone system & transferring calls.

Greets all employees and visitors in a sincere and courteous manner, and always conducts oneself appropriately and professionally.

Proven exceptional customer service skills and ability to be flexible, team player and interface. professionally with all levels of internal and external customers.

Ensure reception area is tidy.

The ability to maintain the highest level of integrity, confidentiality and discretion when handling confidential or sensitive information.

Ensure visitors are properly signed in and receive correct visitor badging.

Contacting the employee host and arranging escorts.

Conducting random personnel inspections.

Schedule conference rooms for meetings, coordinate with Hosts to ensure meeting is setup properly with all groups (IT, Facilities and Security).

Sort and distribute incoming mail.

Prepares and processes outgoing mail and shipments to include: accurate weighing; coding; sorting; affixing postage; properly addressing; and preparing certified/overnight/return receipt mail.

Print labels and prepare Fed Ex shipments.

Signs for deliveries when necessary and notifies facilities and recipients.

Ensures postage system is operational and keeps supervisor and fiscal informed of postage needs.

Keeps immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor.

Perform other clerical/receptionist duties such as filing, photocopying, collating, scanning, faxing etc. as needed.

Monitor Call Center and Phishing Folders.

Update DD254 database with new 254s or updated information.

Monitor JPAS for incoming or expiring VARs.

Assists with end of day safe checks.

Assist with unclassified/classified meetings - generate sign-in sheets, assemble badges, assist with check-in.

Place Staples orders and manage tracking of security budget.

Manage and update Security spreadsheets and vendor receipts and rosters.

Assist with foreign travel advisories and training.

Observes and reports incidents or suspicious activity to security representatives.
Requirements Due to the sensitivity of customer related requirements, U.S. Citizenship is required.

High School Diploma/GED plus three (3) years of related experience.

Secret Clearance eligibility required. Must obtain clearance within 6-9 months.

Motivated, dependable and hardworking.

Provide assistance in a courteous and professional manner.

Proven ability to multi-task and work under fast-pace environments while maintaining accuracy.

High attention to detail and strong organizational skills.

Adhere to deadlines.

Exceptional verbal and written communication skills required with the ability to successfully interact at all levels of the organization while functioning as a team player.

Proficient computer skills including the Microsoft Office Suite.

Run monthly security sign in log reports.
