Responsibilities:ADMINISTRATIVE SERVICES MANAGERThe Administrative Services Manager ("ASM") has primary responsibility for the day-to-day operations and management of our Washington, DC office space, including managing a facilities and office support team, construction management, space planning, equipment and office maintenance, and providing other support services. Responsibilities also include managing and overseeing the Project Support Group, whose duties range from general administrative assistance to providing support on client related activities. RESPONSIBILITIESResponsible for the daily operation and smooth functioning of the 43,000 sq. foot office, including facilities, reception, production, administrative and project support, and all other office services activities.Provide leadership, expertise, supervision, training, coaching and direction to a staff of eight consisting of facilities, office administrative and project support staff.In coordination with the COO, manages all aspects of construction projects (eg, build-outs, renovations, remodels, newly acquired space), including: taking part in budget development, participating in the architect and contractor selection process, assisting with contract review, monitoring subcontractor performance, coordinating with internal departments, managing space planning and move logistics, review and approve change orders and completion of punch list, and addressing issues as they arise. Develop and manage office operating budget, including research and recommendations for capital expenditures, tenant improvements, and cost-reduction measures. Manage and reconcile office petty cash and corporate credit card accounts. Responsible for vendor relations including contract negotiation, troubleshoot, address, and resolve issues related to products and services.Develop the staff meeting agendas and plan meeting logistics.Conduct new staff orientation and training as it relates to administration and facilities. Actively participate in the Safety and Disaster Recovery Committee. Manage local ergonomic program. With guidance from Human Resources, address employee accommodation requests.Coordinate with other ASMs and the COO in support of cross-office and firm wide projects and programs through the ASM Committee meetings. This position will be located in our Washington, DC office.Qualifications:BA/BS or equivalent work experience required. FMP, and/or CFM certification a plus. 7+ years' directly related office and facilities management experience with a proven track record in project management, managing office budgets, and construction and tenant improvement projects; preferably in a professional services firm.Minimum 3 years' experience managing a team of facilities and administrative support staff, including direct experience conducting performance reviews, coaching, training and developing staff.Ideal candidates are results-oriented, proactive, adaptive and responsive, and have exceptional communication skills.Must be able to work independently and collaboratively in a highly professional manner.Demonstrated ability to maintain confidentiality and handle sensitive informationAbility to think strategically as well as tactically, planning for the long-term needs while keeping near-term projects on track.Proficiency using Microsoft Office.
