Assistant Director, Board Operations - Office of Advancement

The Assistant Director for Board Operations assists in the management of the Georgetown University Alumni Association, a 501(c) 3 nonprofit organization. S/he is responsible for daily operations of the Georgetown University Board of Governors (BOG) and Alumni Senate, a group of approximately 120 senior alumni volunteers and students who exert significant influence on both alumni relations programming and Advancement development goals. Reporting to the Senior Director of Board Operations and Alumni Services, the Assistant Director has duties that include but are not limited to:

Board of Governors/Alumni Senate

  • Maintains clear communication with members of the Board of Governors (BOG) and Alumni Senate, via regular email updates, management of the Intranet site, and other appropriate means. 
  • Maintains and edits Alumni Association websites and social media sites.
  • Manages key logistics around board leadership weekends, including the call for registration, development and organization of BOG registration packets, maintenance of master meeting schedule, and distribution of follow up materials and meeting minutes.
  • Directs meeting logistics for two annual in-person Executive Committee meetings, including pre-reading, notifications, registration management, advance agenda distribution, catering, and follow up.
  • Maintains current membership rosters for both the Board of Governors and the Alumni Senate both within the Office of Advancement records and the Association records.

Awards Process

  • Assists in the annual nomination and selection of the John Carroll and Patrick Healy Award winners, the highest honor bestowed upon alumni by the Association.
  • Manages nominations process for the 10+ school specific awards.
  • Develops and maintains accurate historical record of past award winners.
  • Markets, solicits, and tracks key outreach for awards nominations.
  • Prepares extensive materials for committee review, including nomination forms, letters of support, and demographic/background information on all nominees.
  • Updates awards web site on an annual basis, and proposes improved methods of soliciting nominations via Georgetown Alumni Online and Georgetown Today.
  • With Special Events, manages logistics of annual awards banquet during Winter Leadership Weekend.
  • Supervises creation of medals and plaques for John Carroll/Patrick Healy awardees and others as needed.
  • Communicates with award winners as needed regarding weekend logistics, programming and schedules, biographies and extensive guest coordination. 

Nominations Process

  • Assists in the annual nomination of new/returning BOG members, as well as board officers and student leaders.
  • Develops and maintains accurate historical record of past nominees.
  • Prepares and organizes materials for committee review, including nomination forms, letters of support, and demographic/background information on all nominees.
  • Proposes methods for soliciting, receiving, and reviewing nomination materials via Georgetown Alumni Online and a variety of other outreach opportunities.
  • Creates annual election/proxy materials for election of new/returning governors, distributed in a manner compliant with Delaware Corporate Law.
  • Manages an in-person Annual Meeting and validation of the election.

Association Support

  • Provides administrative support as required to the Senior Director, Board Operations and Alumni Services.
  • Represents Advancement effectively and professionally when interacting with volunteers, donors, staff and students, both in person and by telephone, to ensure courteous, accurate and timely responses to internal and external constituents.


  • Bachelor's degree
  • 3 to 4 years working in a fast-paced office environment, preferably not-for-profit
  • High comfort level with social media and web-based applications
  • Strong customer service focus and attention to detail, and ability to use tact and poise when dealing with high-profile volunteers and donors
  • Ability to partner successfully with internal marketing, communications and event-planning staff
  • Ability to work effectively with members of Advancement at every level, including alumni relations, alumni communications, and event planning staff
  • Computer literacy - HTML preferred
  • Proficient in the use of Windows applications - that is, Word, Excel and PowerPoint - preference for InDesign experience
  • Ability to analyze and improve existing processes, strong detail orientation, and a commitment to build/maintain Alumni Association records
