Registration Services and Operations Specialist

The George Mason University Office of the University Registrar invites applications for a Registration Services and Operations Specialist. The Office of the University Registrar actively supports and leads change while serving as a strategic partner to those the office serves, focusing on the ways to become more efficient, effective, and improving services to university constituents in meeting the needs of an evolving higher educational environment.

Position Summary: * Implement the academic policy of George Mason University as well as applicable federal and commonwealth laws; * Provide high-level, customer-oriented services to student, faculty, and administrative customers; * Balance competing needs of various constituencies as fairly as possible, and within the confines of the Family Educational Rights and Privacy Act of 1974, as amended; and * Functional areas include academic records, transcripts, certification, domicile appeal, graduation, registration, scheduling, and reports on student data.

Responsibilities: * Update and maintain accurate student academic records, primarily in electronic format; * Communicate and solve problems regarding academic policy and procedure as it affects the student academic record; * Customer base includes students, faculty, and staff; * Extensive breadth and depth of knowledge of George Mason University academic policy form the basis for this work; * Responsible for enforcing Registrar’s Office and university policy regarding various Enrollment Services functions and requires extensive knowledge of federal and state regulations concerning the privacy of student records; and * Position includes student customer services at a higher level of complexity and sensitivity than those handled directly by Enrollment Central or via PatriotWeb.

Customer Service: * Provide high-quality customer service in all aspects of the position in spite of often difficult and aggressive student and faculty clientele; and * Serve as a customer service representative of the Registrar’s Office: provide high quality customer service in all aspects of the position; say “yes” to customer requests as often as possible, within the bounds of university policy; listen for the unspoken part of questions or dilemmas; offer alternative creative solutions; follow through in a timely manner; be aware of record confidentiality; and follow FERPA when communicating with students, parents, and faculty.

Washington Consortium: * Support Mason’s participation in consortium programs by providing students with guidance: work with deans, directors and faculty internally and with other schools; create and code courses; perform cross-institutional registration and grading; reconcile each semester’s registration records; and act as a liaison with Student Accounts to reconcile billing records; and * Provide Consortium advisement services, forms, and generic information to Mason students upon request: register students accurately and on time; coordinate billing of Mason students with Student Accounts Office; verify registration information reported to Consortium headquarters as basis for cross-billing; track grades for visiting and Mason students; resolve discrepancies and mediate student issues with counterparts at other schools; attend Consortium meetings as requested by the Associate Registrar; bring unique or problematic requests to the Associate Registrar’s attention; inform the Associate Registrar of obstacles to productivity such as unusual or disproportionate student demands or unresponsive colleagues; and balance with student services to ensure productive work flow.

Cross-Functional Support: * Serve as a front-line operations representative in the Office of the Registrar: assist students, faculty and staff with detailed issues related to registration, records, transcripts, and graduation; and answer initial inquiries regarding admissions, certifications and domicile.

Study Abroad Transfer Credit: * Responsible for processing transfer credit for study abroad and for China 1+2+1; * Be the primary contact for both the Center for Global Education and the China 1+2+1 offices; and * Ensure transfer credit is posted to student records no more than two business days after documentation is received; and * Ensure that all required documentation (including translations when necessary) is submitted.

Required Qualifications: * Must have a B.A. or B.S.; or an equivalent combination of education and experience.

Preferred Qualifications: * Experience working in a Registrars Office.
