The part-time/temporary, Program Assistant, WNO Education provides logistical, programmatic, and administrative assistance in the coordination and implementation of the WNO Opera Institute program, the Kids Create Opera teacher professional development program, and select additional projects related to WNO Education and Events for Students programming.

Duties and Responsibilities:

70%    Administrative Duties - Serves as main contact between programs and participants.  Prepares correspondence for participants, parents, and contractors; receives and processes paperwork from the aforementioned parties.  Organizes and maintains comprehensive files for all parties.  Processes payment of invoices and contracts associated with programs.  Assists with writing and editing program materials, including materials for participants, website information, and marketing materials.  Responds to inquiries about programs.  Assists contractors with preparation and coordinating acquisition of program materials.  Serves as liaison between programs and staff at WNO Takoma Park, PAFE, American University’s Katzen Arts Center and catering staff, and the Schmidt Foundation.  Assists with program evaluation preparation, dissemination, and compilation of results.  Manages program mailings.  Coordinates audiovisual recording of recitals.  Assists in coordinating tasks and materials between various program locations.

20%    Planning – Assists in the planning and scheduling of program events.  Coordinates the preparation of material needs for contractors and participants.  Assists in creating logistical plans for program execution.

10%    Staffing & Supervision - Assists in the supervision of participants. Assists in the supervision of intern and RA. Assists in the supervision of select activities.

Education/Experience:

• Bachelor’s degree or equivalent experience, preferably in a performing arts or education related field.

• One year of experience in event planning/implementation and general office administration, preferably with a performing arts or educational organization, and experience working with high school age students. 

Minimum Skills and/or Knowledge Required:

• Basic knowledge of opera and/or music and theater, and basic knowledge of educational programming.

• Strong customer service and interpersonal skills. Good telephone etiquette and professional demeanor while interacting with internal personnel, students, parents, artists, and contractors. Ability to build effective relationships within the organization.

• Must be highly organized, self-motivated, a team player, work well under pressure, and be able to organize and prioritize multiple tasks. Excellent writing, editing, and communication skills.

• Proficiency with Microsoft Office applications (Word, Excel, Outlook).
