Law Firm and Charitable Foundation has an opening for Office Manager.   Foundation and law firm experience preferred but not mandatory.

The skills and experience required for this position include:

  • Energy, initiative, professionalism, integrity, maturity and discretion
  • Superior interpersonal and organizational skills with attention to detail
  • Minimum one to three years of foundation, law firm, corporate or organizational experience; veterans and retirees welcome
  • Advanced office software skills, such as with MS Office (Word, Excel, PPT, Outlook)
  • Superior written and verbal communication skills
  • Bookkeeping skills, including QuickBooks

Job duties will include:

  • Managing a small law firm
  • Administering a charitable foundation’s mission
  • Managing the calendar of several attorneys, including travel
  • Ensuring smooth operations of law firm and foundation, including managing supplies and vendors
  • Providing and processing foundation beneficiary applications
  • Vetting foundation candidates for mission compliance
  • Creating and maintaining foundation applicant informational spreadsheet
  • Reporting status of applicant processing to foundation board and executives
  • Preparation and distribution of payments to foundation beneficiaries and vendors
  • General administrative and executive support, including scheduling, travel arrangements, calendar maintenance, financial reconciliations and records maintenance, creation and maintenance of board and executive records
  • Preparation of meeting agendas and logistics of board and other meetings
  • Serving as point of contact for inquiries by mail, email and phone
  • Preparation of correspondence to beneficiaries and partner charities
  • Compile, edit and coordinate bi-weekly updates to the Foundation chair
  • Manage the office accounts receivable and accounts payable process
  • Track and report on office budget
  • Drafting correspondence and other documents in Word and Excel and similar software
  • Recording and reviewing data in Excel using complex formulas and procedures
  • Managing the filing and storage of important documents and other sensitive firm and corporate communications
  • Operate as fiduciary of Foundation with ethical obligations of a fiduciary.
