Assistant Director of Faculty Contracts, Non-Degree - School of Continuing Studies

The Assistant Director of Faculty Contracts, Non-Degree, performs the process and oversight of hiring, contracting, and payment verification for all faculty, non-regular staff, and student employees in the non-degree and special programs division of the School of Continuing Studies, which includes the Center for Continuing and Professional Education (CCPE), the English Language Center (ELC), Georgetown Global Education Initiative (GGEI), and Summer and Special Programs.  The Assistant Director has duties that include but are not limited to:

  • Implements the recruitment process and cycle.
  • Coordinates interviews.
  • Checking references.
  • Creating and distributing contracts.
  • Processes all hiring paperwork for student and non-regular staff.
  • Requests honoraria for internal faculty and staff.
  • Ensures full and proper on-boarding of all new faculty and staff members.
  • Approves time for all hourly workers within the division.
  • Verifies payments and payroll transactions for all program staff, faculty, and guest speakers.
  • Ensures that contracts are issued timely and that people are paid accurately and correctly; and troubleshoots systems and processes as necessary.
  • Ensures compliance with University guidelines and federal laws regarding hiring and payment processes, such as the tracking of an employee's background check, I-9 status, and Protection of Minors requirements.
  • Supervises one regular staff member whose duties include timekeeping and lower-level HR transactions.

Requirements

  • Bachelor's degree
  • 3 to 5 years demonstrated administrative experience - preference for a human resources background
  • Proficiency in MS Office
  • Exceptional analytical skills for understanding the mechanical steps with Salesforce and GMS [Georgetown Management System (Workday)], the logic behind the mechanics, and the reason that errors may occur
  • Availability and willingness to work some evening and weekend hours in the spring in preparation for the summer term, as well as select weekend check-ins during the summer when programs are in session

Preferred qualifications

  • Completion of some Master's level coursework
  • Knowledge of human resource best practices, in particular legal and compliance matters
  • Experience with Banner, Salesforce, Workday or other Enterprise Resource Planning
  • Knowledge of GMS
