Overview:The Conference Planning Manager produces events from conception to completion for the Department of Energy (DOE), Office of Energy Efficiency and Renewable Energy (EERE). This position plans and coordinates all activities of staff, convention personnel, clients and all aspects of group meetings, events, or conventions.ESSENTIAL DUTIES AND RESPONSIBILITIESEssential duties and responsibilities include the following. Other duties may be assigned.Responsible for the integration of CNI Core Competencies into daily functions, including: commitment to integrity, knowledge / quality of work, supporting financial goals of the company, initiative / motivation, cooperation / relationships, problem analysis / discretion, accomplishing goals through organization, positive oral / written communication skills, leadership abilities, commitment to Affirmative Action, reliability / dependability, flexibility and ownership / accountability of actions taken.Recruits, trains and manages conference service workers and concierge staff.Supervises staff of meeting planners and coordinators.Responsible for quality assurance of all reporting to the client and internal corporate managers.Manages budgets, schedules and deliverables.Works directly with all departments to ensure each meeting is successful and the client is receiving Five Star Quality Service.Manages staff aiding EERE guests or EERE employees who require or request hospitality services.Manages all content development and uploads to conference software. Manages reports and data extracted from registration software such as attendance, special requests, and registration payment by category, etc.Works directly onsite with all clients/customers to implement meetings, conferences and/or events with the highest level of excellence.Manages note-taking and record-keeping of onsite staff and ensures the process is meeting client expectation.On a timely basis, ensures the client's post-meeting requirements are met for first drafts of notes; status of costs, and other meeting close-out requirements as specified by the client.Directs the development of logistical support, including venue selection and implementation, audio-visual requirements, and other allowable customer/client specifications.Designs and implements training programs to ensure all conference set up staff are well-versed on daily job functions, equipment operation, safety awareness, policies and procedures.Manages and maintains all conference service inventory including both consumable and non-consumable items.Takes guidance and direction from the Program Manager and Deputy Program Manager for various assignments.Prepares reports as needed by collecting, analyzing, and summarizing information.Confirms that daily checklists are completed and reviewed for conference set up and the concierge staff.Participates in Quality Assurance Programs that include daily inspections and reviews to address areas in need of improvement.Works closely with all operating departments to assure a seamless guest experience.Oversees the setup of every meeting, conference or event scheduled.Assists in providing alternative approaches to meet client demands while staying within EERE guidelines.May assist in or contribute to the planning, coordination, development, and implementation of long-range goals and objectives.Tours onsite meeting rooms frequently to assure proper set-up.Tours offsite locations for inspection to ensure appropriateness of venue.Creates a courteous, friendly and professional work environment.Performs any or all other duties as assigned by managementResponsible for aiding in own self-development by being available and receptive to any training made available by the company.Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize output.Responsible for keeping own immediate work area in a neat and orderly condition to ensure safety of self and coworkers. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.EDUCATION / EXPERIENCEBachelor's degree and a minimum of eight (8) years relevant experience, or equivalent combination of education / experience.Experience in event management, conference service management, tourism or hospitality required. Comparable agency experience for this position might be the National Institute of Standards and Technology, the National Academy of Sciences or Engineering; EPA; Volpe Center at Department of Transportation; DARPA, NASA etc. All technology driven programs whose technical workshops would be similar to EERE.
